Office Manager - Administrative Support

A French manufacturing company is seeking an experienced candidate for the position of Office Manager/Administrator.

Duties and Responsibilities:Responsible for Onboarding new hires, including sending and managing all new hire documents.Manage relationships with vendors and service providers ensuring that all invoices are processed and paid timely.Contact customers daily to collect on open receivables. Work with the Sales Team on high-risk/past-due accounts.Responsible for processing customer credit card payments and refunds.Assist the Accounting Manager with month-end close.Collect and process the sales team's expenses, reviewing for accuracy and compliance.Event Management for events such as annual sales meetings, customer events, and customer meetings.Establish procedures for record retention and ensure the process is followed.Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement and office systems.Assist and lead special projects as needed.Interface with customers on resolutions of certain customer issues like collections, refunds, warranties, etc.Serve as an overflow resource for certain back-office functions like customer service and order management.Travel 15-20 days a year.Perform daily reconciliation of shipments and invoice customer dailyContact customer to collect on open receivables.Work with sales team on high risk/past due accountsSkill Requirements:

Proven office management, administrative, or assistant experience.Knowledge of office management responsibilities, systems, and procedures.Excellent time management skills and ability to multitask and prioritize work.Attention to detail and problem-solving skills.Bilingual in English & Spanish is PLUS! Excellent written and verbal communication skills.Strong organizational and planning skills.Highly

Proficient in Microsoft Office.Oracle NetSuite software knowledge is a PLUS!Knowledge of accounting, data, and administrative management practices and procedures.Knowledge of clerical practices and procedures.Knowledge of human resources management practices and procedures.Knowledge of business and management principles.Computer skills and knowledge of office software packages.Physical Setting:

Compensation / Pay Rate (Up to): $65,000.00 - $85,000.00 Per Year
