Mid-size Chicago-based Insurance Defense firm seeking an ambitious Office Manager/Legal Administrative Assistant in our Seattle office. Job Description:

This position will work closely with employees and leadership in our Seattle office. This candidate will be involved in coordinating internal office management needs and the supervision and training of support staff in the office. This position is skilled in all facets of litigation support, including case management, internal and external docket databases, all active and inactive clients and their needs, general understanding of firm departments and practices, legal assistants and paralegals and any other staff position under the legal support umbrella. This position will also perform a broad range of case-related duties under supervision as outlined below.

Manages the day-to-day operations of the office; prioritizes use of support staff and facilitiesManages the daily operations of information systems (case management, etc.)Manages equipment, office services, mail, and facilitiesMaintains a professional and positive work environment by facilitating effective communication and information sharing among professional, paraprofessional, management, and support staffFacilitates the onboarding and offboarding of Seattle Office new hiresDrafting notices and preparing state and federal court filings (Pierce, King County)Proofreading motions and sending courtesy copies to courtAdhering to tight deadlines provided by court and attorneysScheduling depositions and coordinating with court reporters and expertsCorresponding with opposing counsel and court clerks.Interacting and following up with attorneys to ensure completion of filings and projects.Document conversionsLiaison between SST offices by coordinating and ensuring completion of work in Washington, Oregon, and other local jurisdictions

This person must be a motivated self-starter with a high level of attention to detail, be able to multitask in a fast-paced environment and work well in a team environment while independently being able to follow through on a task from start to finish with minimal direction.

Required Education and Experience:Bachelor's DegreePrevious law firm administration experience (5+ years)Previous legal administrative assistant experience (10+ years)Advanced understanding of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)Experience using legal search databases (PACER, LexisNexis, Pohlman, Westlaw) etc.Experience using E-discovery software and Legal Billing softwareMust be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demandsSuperior written and verbal communication skillsExcellent interpersonal and customer service skillsKnowledge of state and federal court rules and procedures (Washington)Advanced understanding of law office management practicesAbility to maintain confidential records and use discretionCompetencies:

Compensation:

Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Dependent on the position offered, bonus and other forms of compensation may be provided as part of a total compensation package, in addition to a full range of medical, financial, and/or other benefits.
