Job Goal:

Assist with the implementation of duties and responsibilities of Educational Service and Federal Programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Provide secretarial services to Associate Superintendent of Educational Services and Educational Services Coordinator/Title I.Assist in the preparation of Federal Program application and budgets.Initiate action upon receipt of allocation and application from State DepartmentAssist Associate Superintendent of Educational Services and Educational Services Coordinator/Title I director in preparing site amountsDetermine salaries and benefits for teachersAllocate funds to sites coordinating with principal and teachersBalance all budgets sheets to allocation, considering IDC, Private Schools, District and Administrative budget amounts.Finalize application online and upload to State DepartmentFacilitate all necessary revisionsSubmit Federal Program requests for reimbursement.Process all purchases (inputting requisitions into computer, verify that vendor has not been excluded from receiving Federal funds,), payments (process invoices - check against purchase orders, obtain signatures, submit for payment) and maintain ledgers for Federal ProgramsPrepare time sheets, post, obtain approval, submit to payroll. Balance labor distribution report against time sheets and ledgers.Maintain records for tutors - applications, certifications.Process stipend requests and professional leave requests for substitutes. Post to ledgers and balance with labor distribution reports.Maintain ledgers and balance with general ledger.Maintain inventory for items purchased from Federal FundsAssist private schools with expending their funds.Take minutes at Federal Programs meetings.Be prepared to answer questions from the State Department.Process Professional Leave request, obtain approval, and post to ledgers.Coordinate workshops and meetings: Notification, buying supplies, schedule rooms, set up, etc. Assist in making registrations, travel arrangements for participants to attend seminars and conferences.Provide secretarial services for Coordinator of Educational Services.Manage and maintain general office files.Schedule interviews, manage office reception area, reserve rooms for meetingsCommunicate with parents, administrators, teachers and consultants.Other duties as assigned

Length of Contract :Two hundred forty (240) contract days. Salary commensurate with experience on the negotiated agreement of the Support Employees of Edmond (SEE).

Evaluation :Performance of this job will be evaluated by the Associate Superintendent in accordance with the provisions of the Board's policies, state law, and the negotiated agreement with the Support Employees of Edmond (SEE).

SUPERVISORY RESPONSIBILITES:None.

EDUCATION AND/OR EXPERIENCE:High School Diploma or General Education Degree (GED), one year previous secretarial or office experience.

CERTIFICATES, LICENSES, REGISTRATIONS:None required.

LANGUAGE SKILLS:Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups, staff, parents, and the general public.

MATHEMATICAL SKILLS:Ability to plan budgets and use the mathematical skills required to do so. Maintain accurate records and support documentation for projects under the supervision of the position.

REASONING SKILLS:Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

OTHER SKILLS AND ABILITIES:Ability to use computer and computer related programs and other technologies needed to perform essential job functions. Ability to apply knowledge of current research and theory. Ability to establish and maintain effective working relationships with students, staff, and the community. Ability to organize and chair or facilitate committees and meetings. Ability to communicate clearly and concisely both in oral and written form. Ability to perform duties with awareness of all district requirements and Board of Education policies.
