PROGRAM COORDINATOR - CACE

The Program Coordinator for CACE supports the Center for Adult and Continuing Education in increasing operational efficiency, financial growth, and support leadership in collaborative efforts within the center and across functions and operating programs (ADP, ATCP, and Continuing Education). Assists the CACE director in analyzing current systems to identify strengths to build on; and areas where intervention strategies and or proactive measures are needed in all areas of CACE, including monitoring the programs operations, systems (practices, procedures, and policies), and structure.

The Program Coordinator supports the director in collecting and presenting data from students, instructors, and program results needed to set, prioritize, and achieve long and short-range goals pertaining to budget projections, measure cost-effectiveness, academic success, retention, and growth opportunities. Provide administrative assistance in facilitating advisory group meetings, monitoring online and general classrooms, developing departmental goals, implementing systems, and planning the development and servicing of hybrid courses, distance learning, and continuing education programs.

Maintain communication lines between the director, program partners, advisory committee members, faculty, and participate in weekly PLC (professional learning community) meetings, including the preparation and distribution of meeting agendas and minutes. Assists in developing and implementing systems to improve the processing of expenditures, procurements, receivables, monitor programs budget, compute costs for use in budget projections, and measure cost-effectiveness. Custodian for Documentation Management, as required by the University, SACSCOC, TEA, THECB, and credentialing agencies (recordkeeping and file management) Assist in creating and maintaining spreadsheets for academic scheduling of adjuncts, textbooks, certification plans, etc. Manages Customer Services; maintain and track complaints and students' evaluations of courses as they are forwarded to the Director for CACE to ensure timely follow-up and response. Oversees student orientation and training for all programs, ensuring that all new students are informed of policies, services, and programs. Update and manage the maintenance of handbooks and websites. Assists the directors (CACE and ADP Student Services) in analyzing current systems to identify strengths to build on and areas where intervention strategies and or proactive measures are needed, including monitoring the programs operations, systems (practices, procedures, and policies), and structure, as it pertains budget projections, measure cost-effectiveness, academic success, retention, and growth opportunities Maintains confidentiality of the University, students, staff, and stakeholders' information Adult Degree Program Assist student services with new students' intake in the creation of degree plans and placement. Collaborate with student services and assist in preparing, maintaining, and updating operational practices and reporting. Collaborate with student services and assist in auditing student records for graduation eligibility. Assist student services in executing student re-entry process between departments for withdrawn students. Assist student services to monitor attendance, monitoring students' academic and enrollment process. Provide administrative assistance in facilitating the ATC (Alternative Teacher Certification Program) application and admission process, including acting as the custodian for ATCP transcripts and students folders (requesting data, evaluating, and maintenance) for ECOS reporting. Facilitate the recruitment of candidates (create recruitment and promotion materials) using technology and social media. Continuing Education Program Assist in planning, developing, and administering continuing education programs that reflect community needs and expectations to ensure that implementation and prescribed activities are aligned with specified goals and objectives. Provide administrative leadership and support in developing new courses, certification programs, workshops, seminars, and events in the emerging market of non-credit online instruction (writing/providing agendas, curriculum, certificates, and resources for continuing education projects and events). Keep abreast of educational changes, developments, and education strategies to support marketing, recruiting, communications, agreements, renewals, scheduling, and booking certification courses, workshops, seminars, and events. Facilitate the recruitment of candidates (create recruitment and promotion materials) using technology and social media. Evaluates and establishes relationships with multiple vendors; review contractual arrangements. Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations associated with and/or receiving benefits from the program. Other Duties: As assigned by the Director for CACE. Qualifications

Bachelor Degree in Education or Business Administration with 3-5 years recent experience in adult education, program, or project management. Master's degree preferred in education with 2-3 years recent experience in education.

Proficient in computer, technology, and social media used to support and promote CACE programs.
