Summary:

The Office Administrator is responsible for establishing and implementing strategic plans and initiatives within the Firm’s Palo Alto office. This role will collaborate closely with Firm leadership, partners, and other stakeholders of the Firm.

Responsibilities:

Oversee the administrative and support teams within the Palo Alto officeSupport with recruiting efforts including leading interviews, selection of candidates, onboarding, acclimating to the firm, and training and mentorship of staffManage remote and hybrid work arrangementsLead performance evaluations, reviews, and compensation processesHost regular staff meetings to discuss firm initiatives and operationsCreate and maintain office budget, in conjunction with company management and administration to make planning, purchasing, and cost-effective operating easierAssist with office space learning and real estate property management needs as it relates to the propertySupport with office layout requirements during renovations or redesigns; select inventory for the office including furniture, kitchen equipment, and moreManage office supply and equipment inventory tracking; perform vendor cost analysis and negotiationCreate and implement business continuity plans, safety, and emergency response plansPartner with the Recruitment and Professional Development teams to ensure the firm’s hosting a strong and competitive summer associate programRegularly collaborate with the Chief Human Resources Partner on firmwide projects and rolloutsAssess and prepare for changing needs within the officePoint of contact for employee relations, orientation and trainingAssist with special project logistics, including but not limited to collaborating with outside vendors teams, architects and/or project managers on all budgets, timelines and expectationsManage and oversee the operations of the officeWork with managers and directors from other offices on collaborative projectsQualifications:

Bachelor's degree requiredALA Paralegal Certificate preferredMinimum of 5+ years of HR management, employee relations, and staffing in a law firm environmentDemonstrated understanding of law firm budgeting, cost recovery, contract/license negotiation, and space planningExperience implementing programs, project planning / management, and process analysisProficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe AcrobatAbility to communicate effectively, dispassionately and diplomaticallyStrong attention to detailAbility to collaborate smoothly with many other people and departmentsStrong customer service skillsAbility to handle confidential mattersAbility to remain calm and function under pressure
