As a Staff Accountant specializing in event costs, you will be responsible for overseeing the financial aspects of planning, executing, and reconciling expenses related to various events hosted by the company. Your role will be crucial in ensuring accurate financial records, effective budget management, and compliance with internal policies and external regulations.In This Role, You WillCollaborate with event planners and stakeholders to develop accurate and comprehensive budgets for upcoming events.Utilize historical data and industry benchmarks to forecast costs and recommend budget adjustments as necessary.Create Tour Season Deposit Budget in coordination with Director, Venues for proper forecasting of cash spend by month.Monitor and track all expenses incurred during the planning and execution phases of events, including but not limited to venue rental, Food and Beverage, Hotel rooms, Security, Audio/Visual, etc.Verify invoices, receipts, and contracts to ensure accuracy and adherence to approved budgets. Track costs of each event for proper reporting/accruals.Work with venues to determine proper payment mechanism and be responsible for making payments as needed.Provide proper coding and approval of invoices and work with vendors to submit timely and accurate bills.Build month end accruals for proper event/venue cost reporting.Prepare regular financial reports detailing event/venue costs, actual vs. budgeted expenses, and variance analysis for management review.Present financial insights and recommendations to key stakeholders to facilitate informed decision-making.Establish and maintain relationships with event/venue vendors and suppliers for proper recording of costs.Review vendor contracts and agreements to ensure compliance with financial policies and contractual obligations.Ensure compliance with internal controls, accounting standards, and regulatory requirements governing event/venue expenditures.Identify potential financial risks and implement appropriate controls to mitigate them.Continuously evaluate and streamline event/venue cost management processes to enhance efficiency and accuracy.Identify opportunities for cost savings and recommend strategies for optimizing resource allocation.Collaborate with cross-functional teams, including Tours Operations, Production operations, marketing, sales, and finance, to align event/venue costs with organizational objectives and priorities.Provide financial insights and support to ensure seamless coordination and execution of events.Conduct ad hoc financial analysis and special projects as assigned, providing valuable insights to support strategic decision-making and business initiatives.What You NeedBachelor's degree in Accounting, Finance, or related field.Proven experience (1-2 years) in accounting or finance roles, with specific expertise in managing event/venue costs preferred.Proficiency in financial software and Microsoft Excel; experience with accounting systems (e.g., Netsuite, Ramp) is a plus.Strong analytical skills and attention to detail, with the ability to interpret complex financial data accurately.Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and levels of the organization.Solid understanding of accounting principles, financial reporting standards, and regulatory requirements.Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.If you are a dynamic and results-driven individual with a passion for the dance industry and a desire to make a meaningful impact, we invite you to join our team at DanceOne.
