Job Summary:
The Administrative Assistant 2, reports to the Director of Physical Plant. Will provide administrative support to the Director and Associate Directors of the Physical Plant department. This includes scheduling of appointments and organizing meetings, managing calendars with strong organizational and prioritization skills, arranging virtual meetings and conference calls, obtaining signatures for approval (HR, procurement, contracts, etc.) and distributing in a timely fashion, preparing purchase requisitions, invoices, memos, and other correspondence, create and maintain filing systems that are electronic and physical, provide administrative and clerical support to department management, assist in daily office needs for staff (printing, repairs/work requests, purchase orders), order supplies, make travel arrangements, maintain department listservs and website updates, organize and track departmental regulatory records, project budget summaries, take and distribute meeting minutes, assist with review and revisions of department job descriptions and policies, prepare vacancy requests, submit reimbursements, distribute mail and other duties as assigned.
Minimum Qualifications:
NYS Department Civil Service Exam or Eligible for Transfer
Work Days:
Schedule based on a 37.5-hour work week. Monday-Friday, Day Shift
