We are seeking an Executive Assistant to work in our Walnut Creek, CA, office. The Executive Assistant reports to the Chief Executive Officer and provides direct administrative support to the CEO and Chief Financial Officer as well as other members of Paradigm as required.
Executive Assistant duties include, but are not limited to the following:
Proactively manage Outlook calendars for CEO, CFO, and other members of the Executive Leadership Team (ELT) as needed.Coordinate calendars, logistics and travel for Board of Directors meetings, speaking engagements, Quarterly Business Review (QBR), Town Hall, and any other meetings; coordinate presentation needs with IT and/or Marketing for room setup; coordinate and provide instructions for virtual meetings; coordinate catering needs and any off-site dining requirements for meetings, as well as ground transportation or any other activities as required.Provide liaison for Board of Directors and senior management.Process expense reports for CEO, CFO, and others as needed.Process invoices related to the Executive and Finance Departments (board meetings, corporate credit card charges, consulting, auditing, etc.).
Facilities Administration duties include, but are not limited to the following:
Manage Front Office Coordinator and be able to cover for Front Office Coordinator. This includes training, goal setting, and performance management.Manage communication to Home Office Team for building or local issues, including follow up with property manager.Manage safety floor warden team for Paradigm, including training, team meetings, and communication with building management.Maintain and track parking validation requests for IT department.Oversee accounting requisition forms for all approved facility invoices upon receipt or as requested.In the absence of the receptionist, retrieve and sort incoming mail and post outgoing mail daily.
Qualifications:
5+ years’ experience in an administrative support services roleIntermediate to advanced skills using Microsoft OfficeExperience working in a rapid-paced environment with constant multiple prioritiesAbility to maintain high level of confidentiality as appropriate when exercising all administrative duties.
