BASIC FUNCTION:

Reports to the Controller, with guidance from our CFO Consultant, in collaboration with Program Directors, and the Development department to properly plan, actualize, and report on the spend down of grant awards and overall support grants compliance with multiple funders. This person needs to be strong at managing budgets, allocations, and reporting of approximately $6.5 million in revenue, from approximately 60 funding streams.REPORTS TO:

Flexible Hybrid-Work from home/Chicago Office (3 Days)RESPONSIBILITIESReviews grant award setup documentation for terms and conditions, award restrictions, or funder requirements for the fiscal and administrative management of awards.Work with Controller to create, update fiscal policies and procedures.Approve transactions charged to accounts; verify that expenses adhere to applicable policies and parameters/guidelines of funders.Keep Program Directors apprised of account balances and spending practices through routine and custom reports.Ensures that the program and projects operate in accordance with its budget and, if required, assists the Program Directors to prepare budget adjustments or amendments.Facilitate budget amendment requests and obtain both internal and external approvals as necessary.Close out accounts and confirm final expenditures.Reviews monthly expenditure statements for accounts by line item to ensure accuracy of expenditure type, amount, allowable expense, allocation percentages, etc. Initiates cost transfers to correct errors.Reviews expenditure statements monthly & quarterly.Working closely with Mujeres staff (including programs and HR/Operations) regarding government agency audits and site visits to address any findings and/or to develop corrective action plans.Ensure compliance with all relevant regulations and grant terms. Including review financial reports, verifies figures and information for accuracy, completeness, and compliance with grant regulations.Plays a critical role in the preparation, review, and approval of federal, state and local reimbursement vouchers, quarterly and annual reconciliations for grants, and other revenue activities.Collaborate in the preparation of the Schedule of Expenditures of Federal Award (SEFA).Review and reconcile monthly all invoices.Prepare audit reports to assist the auditors in their inquiries.Responsible for creating and facilitating grants administration training for new employees.Other duties, as assigned.QUALIFICATIONSExperience working in nonprofit organizations, government agencies, education, public health, or a related field for a minimum of five years, with a proven track record in accounting and/or bookkeeping.Candidates must possess excellent writing skills and a strong attention to detail, as well as be proficient in their computer skills, including data and project software.The candidate must be highly organized, able to effectively work under pressure, use independent judgment and produce a quality work product within tight time constraints.Demonstrated success working with funded programs, specifically those sponsored by federal or state agencies.Broad knowledge of and experience with all aspects of grant program administration and the award life cycle, pre- through post-award in a non-profit environment.Demonstrated experience and ability to apply the principles and regulatory framework of the Federal Office of Management and Budget (OMB) including financial management and regulatory policies such as Uniform Guidance, Federal Acquisition Regulations, and Single Audit.Must be organized/able to stay on top of overlapping deadlines.Be willing to occasionally work extended hours in order to complete projects with a condensed timeline.Ability to take initiative and follow through to achieve goals with limited direction.Excellent communication skills.
