This role is critical in managing both professional and personal affairs of the CEO, ensuring seamless coordination and execution of daily administrative tasks.As the CEO's primary support, the ideal candidate will exhibit the utmost discretion, exceptional attention to detail, and a high level of organizational proficiency. This role offers a unique opportunity to be an integral part of the CEO's professional and personal journey, significantly contributing to the overall success and efficiency of our organization.WHAT YOU’LL DO:Efficiently handle the CEO’s day-to-day administrative duties, including calendar management, travel arrangements (both personal and business), expense coordination, project oversight, and event support.Manage the CEO’s dynamic and complex schedule, organizing meetings across various time zones, and ensuring alignment between professional and personal commitments.Ensure CEO is prepared for meetings by compiling necessary materials, drafting detailed agendas, taking comprehensive notes, and managing action items and follow-ups.Oversee personal and family obligations, including managing the CEO’s residence, handling personal errands, making reservations, and coordinating family events and activities.Ensure CEO remains organized and on-schedule through proactive and consistent communication throughout the day.Compile and manage expense reports, ensuring accuracy and compliance with company policies.Serve as the project manager for various personal and business initiatives, ensuring timely and successful execution.Assist with the planning and execution of company-wide events as needed.WHERE YOU’VE BEENPrior experience working as a Personal Assistant or Executive Assistant to a high-level executive.Bachelor’s degree preferred.OUR MUST-HAVESStrong work ethic and an ability to work in a fast-paced environment, a strong sense of team and willingness to collaborate.Team player who is proactive, resourceful, unflappable, and inspiring.Excellent verbal and written communications skillsTech-savvy, proficient in Microsoft suiteYou have impeccable organizational skills and a sharp eye for detail.Confident, enthusiastic, reliable, and honest with discretion in handling confidential informationYou are a self-starter, who naturally anticipates what needs to get done and does it.WHAT WE OFFERCompetitive medical, dental, and vision benefits, in addition to a 401(k)Generous unlimited vacation policyPerformance-based bonuses.Up to 12 weeks of paid parental leave following the birth of a child, adoption, or foster care.Discretionary summer Fridays from Memorial Day – Labor Day.Opportunities for domestic and international travel.This role is a hybrid position based in Chicago, with a salary range of $70,000 - $85,000 plus benefits commensurate with experience.ENVIRONMENT AND PHYSICAL CONDITIONSHandshake is a company of purpose, creativity, and bringing ideas to life through partnerships and programs.
