Salary:

$70,000 - $75,000 with a full benefit plan offered with employer contribution.

Job Summary:

Provides administrative-level support to an Executive and division team members. Prioritizes management/client requests to meet business objectives. Supports the day-to-day administrative operations of the Executive and department.

Key ResponsibilitiesProvide 3 years of experience with Microsoft Office Suite5 years of office/clerical experienceCompose routine executive correspondenceEstablish and maintain official documents and records in appropriate filesRespond to a broad range of inquiriesKeep the executive’s calendar up-to-dateMake necessary arrangements to ensure details for meetings are completedConduct outside research for projects, as necessaryPrepare recurring and special reports and presentations by gathering data, interpreting data, and assembling reports using PowerPoint, Excel, etc., for executive’s review and distributionProofread and edit materialsProvide confidential administrative and clerical support to the executiveReceive, open, sort, read, and prioritize the executive’s mailSchedule appointments, meetings, conferences, luncheons, hotel reservations, and travel plansServe as recording secretary for committee(s), scheduling meetings, distributing materials, recording, and transcribing meeting minutesAdditional ResponsibilitiesPerform complex secretarial work of an administrative nature, including record keepingAdhere to the company’s/department’s confidentiality and HIPAA compliance programsCopy, fax, and route information as requestedProvide excellent organizational and time management skills; must adhere to and meet all deadlinesRespond independently to a broad range of inquiriesParticipate in outside research, as necessary, for some projectsServe as a receptionist for the executive, receiving and screening visitors and telephone callsStrong call-screening capabilities in dealing with salespeople and non-essential callsType documents, memos, correspondence, presentations, forms, charts, tables, and the like from rough draftComply with required workplace safety standardsKnowledge/Skills/AbilitiesExcellent knowledge of Microsoft Office Suite (Word/Excel/Access/PowerPoint), including mail merges, and the ability to type 65+ wpmGeneral knowledge of industry-related issues, particularly Medical Managed Care/Medicaid programAbility to deal with all levels of staff; must be professional and diplomaticExcellent interpersonal, verbal, and written communication skillsAbility to maintain attendance to support required quality and quantity of workMaintain confidentiality and comply with Health Insurance Portability and Accountability Act (HIPAA)Ability to establish and maintain positive and effective work relationships with coworkers, clients, members, providers, and customersRequired EducationAssociate’s Degree or equivalent experienceRequired Experience2 years of Executive Assistant experience
