About the Role

Are you an organized, proactive and experienced administrative professional with a passion for supporting top executives? We're looking for an exceptional Executive Assistant and Office Manager to provide comprehensive executive support and operational services to our CEO, Leadership Team, and Board of Directors.

In this exciting role, you'll be at the heart of our organization, managing the day-to-day activities of the CEO's office, acting as a key liaison between our executive team and internal/external stakeholders and supporting various cross-organizational initiatives.

This position is a hybrid role, with a requirement to work in-office at least 2 days per week, located in Vancouver, BC. The position is full-time with a salary between $76,000 - $91,000 plus benefits.

What You Will Be Doing
  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements and managing expense claims.
  • Develop and implement strategic processes to enhance the functionality, efficiency, and professionalism of both the CEO's office and the corporate office.
  • Handle confidential information with discretion and professionalism.
  • Monitor and manage the Agency's corporate reporting requirements, including assigning work and finalizing drafts and packages for submission.
  • Schedule and organize meetings for the CEO, Leadership Team, and Board of Directors, including preparing executive packages, agendas, taking minutes, and following up on action items.
  • Serve as the primary point of contact for internal and external communications to the CEO, Leadership Team, and Board of Directors.
  • Assist with special projects and initiatives led by the CEO and Leadership Team, ensuring deadlines are met and objectives are achieved.
  • Oversee the day-to-day operations of the office, ensuring a well-organized and efficient work environment.

What You Will Need
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 5 years of experience in an executive assistant or similar role, preferably supporting C-level executives and boards of directors.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines.
  • Strong written and verbal communication skills, with a keen attention to detail.
  • Technologically savvy, with a strong knowledge of MS Office 365.
  • Ability to work independently, exercise sound judgment, and handle confidential information with discretion.
  • Strong interpersonal skills, with the ability to build positive relationships with internal and external stakeholders.
  • Proactive and self-motivated, with a strong sense of initiative.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Candidates with project management experience or certifications may be given preference.
