Job Description Responsibilities: Assist in the daily operation of the Food and Beverage Operations by supporting the Director of Food and Beverage and Executive Chef. Follow up with the Food and Beverage Management team to ensure deadlines are met, perform administrative tasks to support, compile reports and files, handle scheduling and vacation tracking for the division, take calls and schedule meetings. Manage private bookings for the outlets for group business, work with the organizer and outlet leaders to ensure that guests are provided with menus, quotes, and confirm reservations in a timely and efficient manner. Enhance the database of guests to grow the private outlet event business base. Qualify potential clients and businesses by utilizing and adding to an existing database. Create positive relationships with existing guests and use negotiating skills to attract new business and encourage repeat business.Handles incoming phone inquiries & web inquiries from clientsHelps to create guests' vision of events including themes and atmospheresAssesses guest needs and expectationsRecommends and up-sells food and beverage productsWorks with guests on event details, including equipment needs, event flow, timing, and menusActs as a liaison between guests, outlet leadership teams, and chefs to help create menus suited to individual needsAssists the Executive Chef when required to reply to guest inquiries, e.g., recipe requestsSupports the kitchen regarding recruitment administration with TASSupports with menu formatting and initial editingManages Food and Beverage Communication boardFollows up with guests during and after eventsProvides feedback and updates to respective leaders post eventsAdministrative responsibilities include but are not limited to:Reconciling private dining receipts, logging salesProducing and cross-checking Open Table reservations, Banquet Event orders, and Amaya Departmental Events SchedulesAssisting in the daily operation of the F&B division and operationsCompiling reporting, sales mixes, and analysis of dataMenu printing and draftingAssisting the Director of F&B in daily administrative tasksWorking with all F&B leaders to ensure smooth and clear lines of communication are maintainedOther duties as assigned by management

Qualifications Qualifications:Previous hotel administrative experience and awareness an assetAbility to multi-taskExcellent organizational and time management skillsAbility to work in a team environmentOutstanding written and oral communication skillsStrong sense of business acumenWine knowledge preferredExcellent communication, negotiation, and understanding of sales processesExperience in guest relations through previous hotel operations experienceKnowledge of product, contractual agreements, and menu planningExperience solving difficult guest problems in a complex and upscale environmentSolid PC skills including Word, Excel, Outlook, OperaPhysical Demands:While performing the duties of this job, the employee is regularly required to stand and walk.The employee frequently is required to sit and use hands to finger, handle, or feel.The employee is occasionally required to reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.The employee must frequently lift and/or move up to 50 pounds.Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.
