Purpose/Position Code/Classification/Level/Work RelationshipsCoordinating transfer processes, advising students, managing state educational initiatives, and serving as a backup to the Registrar.ADMSAR27110Administration, INon-Exempt, Non-Bargaining UnitReports to Director of Advising/RegistrarPrincipal working relationships: Admission & Records, Student Development, Testing Center, Advising & Counseling, Athletic Department, Academic Services, Faculty, Staff, and StudentsPrimary Responsibilities:Serve as the primary resource for transfer programs, facilitating students’ smooth transition from Sandburg to bachelor’s-level programs.Coordinate transfer events and facilitate training for student development personnel on transfer opportunities.Develop and maintain articulation agreements with other institutions.Provide transfer-related training and updates to colleagues throughout the institution.Manage compliance, coordination, and recordkeeping of IAI (Illinois Articulation Initiative), ILCCO (Illinois Community Colleges Online), Transitional Math & English, and other statewide initiatives for articulation and transfer processes.Articulate Sandburg courses and programs with other accredited colleges and universities.Provide academic advising to students to a caseload of transfer students.Assist students in developing educational plans that align with their career goals and program requirements.Monitor students' academic progress and provide support and resources to promote their success.Evaluate and monitor the General Education Core Curriculum (GECC) to ensure it meets institutional and accreditation standards.Review student files for Illinois Community College Board (ICCB) General Education Core Curriculum (GECC) reporting.Maintain documentation and records related to general education requirements.Oversee the waitlist process, ensuring timely and accurate updates.Communicate with students and faculty regarding waitlist status and availability.Implement strategies to optimize waitlist management and prepare reports for planning and evaluation.Coordinate reverse transfer processes to promote graduation for students who have left the college and have the necessary credits to complete a degree or certificate.In coordination with the athletic department, participate in student-athlete eligibility meetings, prepare documents for submission of athletic-eligibility rosters for electronic submission, and maintain eligibility files.Work with the institutional effectiveness department and other appropriate resources to annually assess the effectiveness of transfer initiatives. Examples may include evaluating transfer agreements on a rotational basis, preparing and sharing destination and success data of transfer students, and tracking cohort data for dual credit students.Represent the advising and registration office on institutional committees as needed.Other duties as assigned.Assist with:Registration process, including block registration processes.Backup to Registrar to assist in managing the day-to-day operations of the Advising & Registration office.The accuracy of all transcripts.Process credential evaluations of incoming transcripts, including transfer credits from other colleges/universities, military credit, proficiency exams, and non-course credits.Office development and implementation of policies and procedures.Planning and implementing graduation ceremonies.Career counseling services, which may include administering career interest inventories and providing guidance to students based on the results.Admissions & Records Support Specialist coverage as needed.Risk-Management and Loss-Prevention Activities:Actively participate in and carry out activities in support of the college risk-management program in a capacity appropriate to this position.Monitor conditions, events, and circumstances present in the college operation to avoid potential torts or injuries to students, staff, or the general public, and then communicate observations to the appropriate supervisor and/or Risk-Management Committee.Maintain a working knowledge of the college’s emergency procedures and how to operate emergency phone systems, including internal/external call boxes.Minimum Necessary Education, Skills, and Experience:Bachelor’s degree required or related specialized training and two years' work experience in a skill relevant to job requirements. Supervisory experience preferred.Working knowledge of computer systems and PC Software—word processing and database management.Ability to work cooperatively with students, staff, and community members and be respectful to issues of student and staff diversity.Good verbal and written communication skills.Able to work under pressure.A valid driver’s license is required.Spanish or French proficiency preferred.Physical Requirements to Perform Job Functions:Basic dexterity skills (computer work, telephoning, and other office equipment).General physical effort required includes sitting, bending, reaching, and some lifting (20 lbs. or less) and the ability to place a work order for anything over that limit.Must have visual and hearing capabilities with/without correction.Implemented: 07.12.2024
