The primary responsibility of the executive assistant is to enhance the effectiveness of executive-level firm leaders by performing a diverse set of administrative functions at an elevated and exceptional level. The executive assistant must be proficient at tasks such as active calendar management, complex and detailed travel plans, and timely and accurate expense report processing for ECG principals and executives. Additionally, the executive assistant must be adept in helping drive completion of key deliverables and possess excellent ownership and follow-through skills on special projects. The executive assistant may also support administrative processes for an assigned consulting division or service area, including tasks such as reporting, scheduling and coordinating division and practice meetings and educational sessions. Successful executive assistants at ECG are proactive, adaptable, and resourceful.Your responsibilities may include:

A. Leader Support

Provide primary administrative support for executive-level firm leaders, including managing calendars and scheduling meetings; organizing and processing expenses and submitting expense reports; and coordinating and managing travel according to consultant requirements and preferences, including booking and adjusting airfare, hotel, and ground transportation.Demonstrate proactive problem-solving by anticipating needs relative to leaders’ prioritization of meetings and overall calendar management.Provide background information and/or supporting documents in preparation for scheduled appointments and meetings.Maintain travel site logins and passwords and an accounting of airline debits/credits based on travel changes, and ensure credits are used in a timely manner and billed appropriately for accurate reimbursement.Perform special projects and/or other functions to support the business as assigned or proactively performed.B. General Duties

Establish and utilize the most effective Microsoft Office Outlook practices to streamline daily inbound/outbound email and calendar management for executive-level firm leaders.Develop best practices for effective meeting management using Microsoft Teams.Promote usage between Microsoft Office 365 and Office 365 applications to create a seamless information pathway between devices.Document all pertinent information in Microsoft OneNote to share with the administrative team as needed for coverage or with those you support.Monitor Microsoft MyAnalytics information to address possible productivity gains.Set up, test, and troubleshoot videoconferences so that meetings start on time and run smoothly.Create solid contingency plans for travel as well as virtual and in-person meetings.Complete projects as assigned, such as running/distributing Deltek Vision reports or assisting with pipeline creation/editing.Proactively look for issues with travel/scheduling and then use balanced judgment, advanced reasoning, and flexibility to address the issues in a timely manner.Promptly make necessary updates to any Microsoft Dynamics CRM data as needed.Communicate professionally, both in writing and verbally, on behalf of those you support.Utilize an effective method for project/task management and follow-through.Provide backup support and coverage for other administrative support professionals in the office and at the firm.Ensure resolution as ad hoc issues arise.C. Consulting Division and Practice Support

Proactively support the administrative components of key division initiatives, including running ad hoc reports and following up with key stakeholders.Schedule division and practice staff meetings, and distribute meeting materials.Schedule division and practice education sessions for the firm, and assemble and distribute session materials.Assist with scheduling other internal meetings.Prepare agendas and record minutes and action items for internal meetings.Provide other high-quality, administrative support to the division and its practice areas as needed.D. Office Management

Assist in overseeing the office’s smooth and efficient day-to-day operations.Support a professional, positive, and fun office culture.Answer a multiline phone system, take messages, and provide appropriate information to callers.Support office-based and visiting employees with copying, printing, and similar tasks.Greet visitors and escort them to their meetings or assigned work space if visiting and working from the office.Plan, organize, and coordinate office meetings and related logistics and food/beverages, including division meetings, team meetings, and any annual events, as well as office social and community service events.Provide logistics support for any local conference participation and activities (e.g. client receptions, dinners) in coordination with marketing and consultants.Arrange the scheduling of candidates and preparation and distribution of resumes in conjunction with the recruiting team.Facilitate candidate interview days and administer computer-based candidate testing.Prepare office space for new employees in coordination with the IT department and building management, procure building and suite access, and ensure basic equipment (e.g., computer, monitor, peripherals) is available and set up.Organize new employee orientation and welcome activities in conjunction with Human Resources.Prepare the monthly office expense budget, and reconcile monthly credit card statements.Negotiate the purchase of office supplies, furniture, office equipment, etc. for the entire staff in accordance with company purchasing policies and budgetary restrictions.Maintain office equipment so that it is ready for employee use at any time, and support others in the use of the equipment.Create and maintain supplier and vendor relationships, and ensure timely payment of invoices.Serve as the point of contact or liaison with building property management.Order and stock office supplies, kitchen supplies, and beverages and snacks.Ensure conference room facilities, the reception area, and the kitchen break room are neat and orderly.Ensure compliance documentation is current and posted.Our Expectations of You

Ten or more years of experience as an administrative assistant supporting executive-level firm leaders who are frequent travelers and distributed across multiple time zones.Bachelor’s degree in business-related field or equivalent.Experience in management consulting or other professional services preferred.Superior organizational skills, an aptitude for details, and strong prioritization abilities.Exceptional communication skills, confidence, and professional presence.Experience in providing a high level of attention to details and follow-up.Demonstrated ability to thrive in a fast-paced, demanding environment and fully manage your own time.History of maintaining a high level of discretion and confidentiality.Ability to work under pressure of deadlines.Demonstrated self-confidence.Experience with overcoming obstacles and challenges to ensure tasks are completed.Demonstrated ability to take on stretch assignments with a drive to provide excellent service.Balanced judgment and problem-solving in complex and ambiguous situations.Ability to anticipate needed decisions; consider implications, risks, and opportunities; and take action as required.Experience in taking initiative, making suggestions, and helping solve problems.Job Locations

It represents a good faith estimate of the range that ECG reasonably expects to pay at the time of the job posting. The actual salary paid will vary based on multiple factors, including but not limited to years of experience, special skills, and market changes.
