Associate Director of Administration and Finance, School of LawAbout the OpportunityThe Associate Director of Administration and Finance will oversee the financial and contract management functions within the School of Law, providing direction, oversight, analysis, and reporting on all related activities. Responsibilities encompass a broad spectrum of tasks, ranging from high-level oversight to hands-on transactional duties. This includes management of the day-to-day financial operations such as submitting invoices and reimbursements for processing, conducting budget reconciliations, and facilitating regular budget meetings with department heads. Contract administration includes managing and overseeing contracts throughout their lifecycle.This individual will also serve as the primary point of contact for any finance and contract-related inquiries, ensuring alignment with related University policies, processes, and practices. They will also act as the primary liaison between the Law School and key University stakeholders such as Accounts Payable, Procurement, and the Office of General Counsel.The primary work location for this position is the Boston, MA campus. This position currently operates under a hybrid model, requiring a combination of on-campus presence along with a remote work option. The specific work schedule will depend upon the operational needs of the College, and the hybrid model is subject to change based on business needs and college and University policies and guidance.Responsibilities:Financial Administration (75%):

Oversee and manage the day-to-day financial operations and fiscal calendar, such as submitting invoices and reimbursements for processing, budget transfers, corporate credit card approvals, tracking, monthly budget and payroll reconciliations, year-end activities, and facilitating regular budget meetings with department heads.Provide guidance and training to employees on financial policies, procedures, and best practices. This entails crafting and refining training materials, ensuring they are up-to-date and aligned with organizational standards and promoting a culture of financial literacy and compliance.Assist with the development and maintenance of departmental projections throughout the fiscal year. This involves tracking financial activities, analyzing historical financial data, identifying trends, and anticipating future financial needs aligned with Institutional and Law School objectives.Serve as the local expert and thought partner, promptly providing insight and guidance on financial matters.Act as the primary liaison between the Law School and key University stakeholders such as Accounts Payable and Procurement.Special ad-hoc projects or initiatives as they arise.

Contract Administration (25%):

Oversee and manage contracts throughout their entire lifecycle, ensuring seamless coordination and compliance with all University and Law School policies and procedures.Provide guidance and training to employees on policies, procedures, and best practices relating to contract administration. This involves developing and revising training materials to ensure they remain current and align with organizational standards.Maintain accurate and organized contract records for tracking and retrieval as needed.Serve as the primary point of contact for all contract inquiries.Act as the primary liaison between the Law School and key University stakeholders such as Risk Management and the Office of General Counsel.

Qualifications:Required Qualifications:Education & Experience:

Knowledge and skills required for this position are typically acquired through the completion of a Bachelor's degree with 5 - 7 years of applicable experience required. Individual should have familiarity with relevant regulations and compliance standards such as generally accepted accounting principles.Technology:

Demonstrated proficiency with Microsoft Office Suite (Excel, Word), Adobe PDF, and expertise with financial management software and ERP systems such as Workday Finance, Banner Finance, Cognos, Concur, and Intellibuy.Problem Solving & Analytical Skills:

Exhibit strong analytical and problem-solving abilities, proactively identify and address issues. Ability to make independent decisions with sound judgment. Proficient in analyzing financial data, discerning trends, and offering actionable insights to drive informed decision-making.Attention to Detail & Time-Management:

Individual must possess exceptional attention to detail and organizational skills, including the ability to manage time and priorities amidst multiple tasks and deadlines.Communication & Collaboration:

Exhibit a customer-service oriented approach with exceptional verbal and written communication skills. Demonstrated ability to articulate nuanced policies with clarity and comprehensiveness, facilitating effective communication across diverse audiences. Candidates with experience in developing and providing training would be particularly well-suited for this role.Confidentiality:
