The Opportunity
The Operations Associate position is an opportunity for a detail-oriented professional with strong people skills to contribute to the Foundation's cutting-edge social impact approach. Reporting to the Operations Director, this role encompasses accounting, HR, and administrative functions. Key responsibilities include payroll and benefits administration, budget support, and office management. The successful candidate will ensure smooth operations and enhance the employee experience within a small, supportive team, where every contribution makes a significant impact.
Key Responsibilities
Accounting
Payroll and Benefits: Execute semi-monthly payroll using Paycom. Maintain employee records for vacation, sick, and personal days. Prepare annual 403(b) retirement census. Liaise with outsourced HR for payroll and benefit account reconciliation.Accounting and Tax: Create weekly invoice payment memos, including preparation and proofreading. Prepare materials for annual audit and 990 tax filing. Collaborate with outsourced accounting team for timely payments and tax compliance.Budget Support and Analysis: Assist with budget development and monitoring. Help maintain alignment between budget categories and accounting general ledger.Human Resources
Serve as primary contact for employee inquiries about payroll and benefits.Prepare reports for annual compensation review and respond to salary/benefit surveys.Support annual benefits open enrollment and review insurance invoices for accuracy.Conduct research on compensation, benefits, policies, and best practices.Enhance and implement onboarding and offboarding procedures.Administration and Office Management
Document and Contract Support: Proofread, edit, format, and maintain filing systems.Office Management: Maintain the Foundation-wide calendar. Maintain office and kitchen supplies and upkeep. Interface with vendors. Troubleshoot minor equipment issues and request IT support.Visitor and Meeting Support: Create a welcoming and accessible environment for visitors by providing directions, arranging catering, greeting guests, and setting up for meetings.Foundation Operations: Contribute to board meeting preparation, staff committees, website updates, and organization development. Execute special projects as assigned.Internal Relationships
Support the integration of the Foundation’s strategy and approach.Collaborate with the Operations Director, Executive Assistant, and Grants Manager for smooth team operations and effective collaboration.Participate in occasional foundation-wide projects that advance organizational goals.
Desired Skills and Qualifications
Bachelor’s degree and 3 years of relevant professional experience. Payroll experience preferred.Excellent organization skills, attention to detail, and commitment to high-quality work.Commitment to maintaining strict confidentiality.General understanding of HR issues and basic payroll processes, or a willingness to learn.Self-starter; motivated, resourceful, and comfortable with ambiguity.Strong judgment and the ability to work independently and manage multiple tasks in a fast-paced environment.Positive attitude, emotional intelligence, willingness to help others, and a sense of humor.Proficient in Microsoft Office Suite.Comfortable working in a small, dynamic, team-oriented organization.Ability to represent the Foundation and build respectful, authentic relationships with stakeholders.Excellent interpersonal, verbal and written communication skills, with the ability to adapt to different cultural environments and diverse backgrounds.Commitment to justice, diversity, equity, and inclusion.Strong analytical and problem-solving skills.Commitment to the Pisces Foundation’s mission and strategy.
Location and Schedule
The Pisces Foundation operates with a hybrid schedule, working out of the Foundation offices in downtown San Francisco on Tuesdays, Wednesdays, and the first and third Thursdays of each month. Candidates must live in the San Francisco Bay Area and be legally authorized to work in the United States.
Compensation and Benefits
Pisces Foundation offers an excellent compensation package including platinum-level health, dental, and vision insurance; Flexible Spending Account; life insurance; bereavement leave; paid time off; and holidays.The starting salary for this role is $85,000 – 100,000, depending on skills and experience. Our salaries are competitive, reflect our geographic location and field, and are commensurate with experience. Pisces Foundation participates in multiple compensation surveys for grantmaking organizations and conducts an annual review of market-based salary trends.We offer a supportive and values-driven environment where professional growth is encouraged.
