Secretary II - Washington, D.C.Background:Kent, Campa and Kate Incorporated (KCK) is a federal contracting company that provides professional services to Government Agencies. We are currently seeking candidates for an Secretary II position to support administrative activities for the Alcohol and Tobacco Tax and Trade Bureau (TTB) located in Washington, D.C.
This is an on-site position. Compensation range: $24.00 HourlyPosition Description:The Alcohol and Tobacco Tax and Trade Bureau (TTB) is a bureau within the Department of the Treasury. TTB’s mission is to collect alcohol, tobacco, firearms and ammunition excise taxes, and to administer the laws and regulations in a manner that protects the revenue, consumer, and promotes voluntary compliance. Normal working hours are from 9:00 am to 5:30pm but may occasionally be adjusted with advanced notification in support of the Administrator or Deputy Administrator with 30 minutes (unpaid) for lunch daily. Occasional travel may be required to support the Administrator and Deputy Administrator’s participation in a meeting or conference.Requirements:Three (3) years’ experience providing secretarial and administrative support or related experience.Knowledge of multiple applications associated with Microsoft Office, including SharePoint, Word, PowerPoint, and Excel.Excellent attention to detail and organizational skills.Previous experience handling scheduling and calendar management.Able to obtain an Active Public Trust.Duties and responsibilities (including, but not limited to):Serves as assistant to the Administrator and Deputy Administrator, Alcohol and Tobacco Tax and Trade Bureau (TTB), and other bureau officials, staff, and the public.Provides assistance and support for all operations and activities of the front office.Assists with a wide variety of projects and taskings on behalf of the Administrator, Deputy Administrator, or their delegates.Acts as receptionist for 3rd floor headquarters support area.Receives, screens, and answers telephonic and personal visitor requests on behalf of the Administrator, Deputy Administrator.Duties include or are comparable to the following: Screens, tracks, and routes telephone calls, visitors, and incoming correspondence; personally responds to requests for information concerning office procedures; determines which requests should be handled by the supervisor, appropriate staff member, or other offices.Schedules tentative appointments without prior clearance.Makes arrangements for special or routine events like award ceremonies, tours, conferences, and meetings and assembles, distributes, collects, packages, and routes established background materials, as directed.Reviews outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures; assures that proper clearances have been obtained, when needed.Collects information from the files or staff for routine inquiries on office program(s) or periodic reports.Coordinates personnel and administrative forms for the office and forwards for processing. Familiar with administrative concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals.Prepares Administrator/Deputy Administrator and Front Office materials for meetings such as agendas, background materials, and compiling data points/information relevant to meetings in Word, Excel, or PowerPoint.Works under an organizational structure that is complex and is divided into subordinate groups that usually differ from each other as to subject-matter, and or function; supervisor usually directs staff through intermediate supervisors; and internal procedures and administrative controls are formal.Works with other staff in the organization to task and suspense requirements to the appropriate TTB activity, and follows up to ensure completion.Develops and maintains the Administrator and Deputy Administrator's long-range calendar.Forecasts events, actions, and projects; deconflicts schedules; and, maintains oversight of routinely recurring events.Deals authoritatively with TTB Headquarters staff and field operating locations in programming the Administrator Deputy Administrator's calendar to ensure completeness and specificity in preparatory actions and plans.Receives or retrieves Official Mail and parcels delivered to TTB or the official mailbox on the 1st floor of the building, logging all registered mail and parcels in the log book.Distributes mail via the mail routing boxes in the mailroom and handles all inquiries regarding the official mail program.Application Notes:Please provide a resume to include the duties and responsibilities performed for each previously held position.This position requires the employee to be U.S. citizens or have lawful permanent resident alien status (green card holders).Kent, Campa and Kate Incorporated (KCK) is an equal opportunity employer.
