Conference Service Coordinator

to join our Pier Sixty-Six Resort opening team!

Responsibilities

Develop and maintain all filing systems within the departmentDistribute Banquet Event orders (BEO's) in a timely and efficient mannerEnsure that all information is correctly loaded in DelphiMaintain complete knowledge of resort services, features, hours of operation and daily eventsRun daily, weekly and monthly reports as neededAssist Managers in all activities, including, but not limited to; BEO creation, group resume creation, client services, amenity forms, room inspections and reservations, restaurant and spa reservations, merging of documents.Provide general information: address guests' questions regarding resort services and policies.Answer the telephone and direct calls/messages to appropriate personnel or guests. Follows up on minor customer problems.Retrieve and distribute departmental mailMake photocopies and process as specifiedProcess all changes to BEO's and complete BEO change log as neededAssist Managers in calling clients for their function guaranteesAttend designated meetings, take minutes, transcribe and distributeAnswer telephone inquiriesAssist managers in calling vendors for specified itemsContinually audit and review office management and administration systems, implementing improvements where necessary and keeping the office appropriately stocked with supplies at all timesComply with any other reasonable tasks requested by management and any reasonable request made by a guestEnsure and maintain security and confidentiality of information relating to guest/employee data held within the resort. Re-direct "press calls" at all times to the correct personnel and do not disclose any data to outside sourcesSafely perform all duties, observing all safety procedures and reporting all accidents and injuries promptlyBe responsible for the cleanliness of the immediate work area as well as the general propertyBe attentive to any objects, conditions, or actions that may risk accidents and/or injuries to a guest or fellow employee. Report all unsafe conditionsMust adhere to proper grooming, dress, and uniform standards as set forth by Company policyCommunicate effectively with peers, management, line and front of the house employeesPerforms related duties as requiredQualifications

Typing 50-60 wpm and strong computer skills required. Salesforce experience preferred.Pleasant disposition and professional appearance.Strong communication skills, appointment making skills; ability to multitaskHigh School education or equivalent.Strong Computer Skills required i.e. Word, Excel, Power Point, etc..Must be able to speak, comprehend, read, and write EnglishMust have strong customer service skillsMust have the ability to uphold service standardsMust have the ability to prioritize and organize work assignmentsMust be able to effectively handle stressful, high-pressure situationsMust be able to exert up to 50 pounds of force occasionally and able to constantly lift, carry, pull or push up to 20 pounds of forceMust be able to stand or walk for long periodsAs a valued member of the CoralTree team, you'll receive a comprehensive benefits package that includes:
