GENERAL SUMMARY/OVERVIEW STATEMENT

Provides secretarial and administrative support services such as typing, filing, scheduling appointments, preparing records and reports, submission of payroll, and maintaining par levels of supplies.

The secretary is expected to make judgments concerning priorities, to use initiative in improving office systems which will contribute to attainment of organizational objectives, to understand the goals and responsibilities of the organization as well as to accomplish necessary office tasks.

Reports to the Center for Nursing Excellence Administrative Director.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Schedules appointments, meetings, etc. for the Executive Director and divisional members, locates and reserves appropriate meeting rooms.Types correspondence, memos, personnel records (change of status) and other materials as requested for Center for Nursing Excellence Administrative Director and other Center for Nursing Excellence staff.Utilizes the telephone, mail and computer systems for appropriate communication for the Center for Nursing Excellence services and programs.Duplicates and distributes memoranda, policies, procedures, minutes, etc.Keeps personnel records as required, including registration, salary, evaluations due, address as appropriate for division.Maintains divisional files with warehousing as appropriate.Ensures economical use of office supplies.Meet, greet and provide directions to visitors in a courteous manner.Assists in preparation of the payroll, and maintaining a system for check sorting, distribution and mailing.Assumes responsibility for typing/secretarial work for nursing departmental committees including minutes.Makes out purchase orders, check request vouchers as directed.Follows up on expenses.Carries out special projects as assigned.Program Support:

Administrative support Center for Nursing Excellence services and programs

Maintain and organize the CNE central program, nurse residency, and orientation calendars and the appropriate CNE training space. Assure that all rooms are available and prepared for the weekly orientation program.Manage onboarding of new hires within Patient Care Services to ensure appropriate systems access are in place. Prepare the orientation program documents, prepare schedule, complete EPIC forms, grant system access, etc.Manage the newly licensed nurses' participation in the nurse residency program by being aware of existing and upcoming cohorts, scheduling monthly seminars, aligning seminar speakers to each seminar, meeting reoccurring with program manager to ensure all success of monthly seminars.Oversees department's intranet and website content and communication and SharePoint sites. Ensures that content is accurate, grammatically correct, and reflects the diverse nature of the department.

Carries out special projects as assigned.

SKILLS AND ABILITIES

Demonstrates competence within Microsoft Office suite of programs including Excel, Access, PowerPoint and Word.Ability to prioritize, to complete tasks as assigned, and manage multiple activities simultaneously.Ability to work under pressure in a fast-paced environment and meet deadlines.Excellent communication skills; verbal and written.Strong interpersonal skills to communicate effectively with a diverse group of hospital and non-hospital personnel.Independent judgment needed to organize work and set priorities.Demonstration of flexibility and willingness to adapt to diverse roles as a member of the Patient Care Services team.Qualifications

QUALIFICATIONS

High School Diploma required, Bachelor's Degree preferred.1-3 years of organizational and interpersonal and demonstrated customer service skills required.Healthcare or related experience preferred.Demonstrated ability to coordinate projects with strong orientation to details, computer skills/technical dexterity required.
