Department Event Services

GENERAL DESCRIPTION

Coordinate, manage, supervise, implement, and evaluate all aspects of specific university department events, academic unit events, university-wide events, external events, and summer conferences; assist with production of events as assigned by the Director of Event Services and/or Assistant Director of Event Services; assist with department projects and priorities, all as assigned by the Director of Event Services and/or Assistant Director of Event Services.

COMMUNICATIONS

This position requires exceptional verbal and written skills, and the ability to interact with faculty, staff, students and clients outside the university. Interactions occurring by email, over the phone and in person.

CUSTOMER SERVICE

This position requires exceptional customer services/customer relationship management skills. The ability to develop and maintain long-term relationships and to provide extraordinary value to all constituencies is essential.

Special Schedule Requirements

May be required to work some nights and weekends as assigned when event needs dictate.

Qualifications

Education & Experience

Bachelor's degree is preferred. A minimum of two years experience in event planning. Experience with event production/AV is a plus.

Knowledge & Skills

- Customer service experience is a priority. - Familiarity with a standard Windows environment and MS Office systems is essential along with knowledge of Event Management System (EMS). - Understanding event planning, and the process of how an event should be run is required. - Must be able to take individual initiative as well as work collaboratively in a university environment; must be detail-oriented, highly organized, able to work in highly stressful and deadline situations; have a good sense of humor; and have exceptional planning skills.

SUPERVISION & BUDGET AUTHORITY

No direct budgetary authority or supervisory authority. Assist with vendor quote/bid collecting when needed for events and when required for department purchases. Assist with field management of student staff members when required by events or when directed by Event Services supervision.

Physical Environment and Requirements

Must be able to attend meetings outside of the office; can work at a computer for multiple hours per day in a normal office environment. Must be able to attend events during the week, on evenings and on weekends. Must be able to stand or work at events for multiple hours. Must be able to lift at least 40 pounds.

Certifications and Licenses

Key Responsibilities

Key Responsibility

Coordinate, manage, supervise, implement, and evaluate all aspects of specific university department events, academic unit events, university-wide events, external events, and summer conferences as assigned by the Director of Event Services and/or Assistant Director of Event Services. These events include but are not limited to many IIT Main campus college/academic unit events, IIT sponsored events and eternal client events.

Percentage Of Time 60

Key Responsibility

Work in partnership with Campus Dining/Catering Services, Public Safety, Facilities, Office of Technology Services, and other on-campus partners to provide the highest level of customer service and to insure optimal use of event spaces, while reflecting university priorities.

Key Responsibility

Communicate and enforce Event Services and University policies and procedures, especially as they pertain to event planning and production university events. Work closely with student staff supervisors to ensure timely and effective delivery of services for events.

Key Responsibility

Coordinate, manage, supervise, implement, and evaluate aspects of IIT's Commencement event as assigned by the Director of Event Services and/or Assistant Director of Event Services, including working with IIT volunteers and IIT's colleges on unit ceremonies and logistics.
