Proper Hospitality is seeking a Purchasing Manager at Montauk Yacht Club, our 107-room luxury property within The Collective. Spanning 35 acres on Montauk's Star Island, Montauk Yacht Club offers waterfront views, a private beach, three pools, multiple dining options and over 200 wet slips that can accommodate boats from small day cruisers to 300-foot superyachts. Holding eight decades of East End history as an elite social club and thoughtfully reborn for the modern traveler, guests can expect classic East Coast architecture, well-appointed interiors and detail-driven amenities.
As the Purchasing Manager,
you will be responsible for managing the procurement process to ensure the efficient sourcing and delivery of high-quality goods and services for our guests and hotel operations. This role requires a keen eye for detail, strong negotiation skills and the ability to maintain positive relationships with suppliers while adhering to budgetary constraints.
Key Responsibilities
Vendor Management
Identify, evaluate and negotiate with vendors to secure the best pricing, quality and terms for goods and services required by the hotelDevelop and maintain strong relationships with suppliers to ensure timely delivery and resolve any issues that may arise.Procurement Strategy
Develop and implement strategic procurement plans to optimize purchasing processes, reduce costs and enhance efficiency while maintaining the highest standards of quality and serviceInventory Management
Oversee inventory levels and ensure adequate stock levels of essential items while minimizing excess inventoryImplement inventory control measures to prevent wastage and pilferageBudgeting & Cost Control
Collaborate with department heads to develop annual purchasing budgets and monitor expenses to ensure complianceIdentify cost-saving opportunities and implement initiatives to maximize profitability without compromising qualityQuality Assurance
Establish and enforce quality standards for all purchased goods and services to meet or exceed guest expectations and uphold the hotel's reputation for excellenceCompliance & Documentation
Ensure compliance with relevant laws, regulations and hotel policies regarding purchasing activitiesMaintain accurate records of purchases, contracts, and vendor agreementsTeam Leadership
Lead and mentor the purchasing team, providing guidance, training and support to ensure high performance and professional developmentQualifications & Skills
Bachelor's degree in Business Administration, Hospitality Management, or related field preferredProven experience in procurement and purchasing management within the hospitality industry, preferably in a luxury boutique hotel environmentStrong negotiation, communication and interpersonal skillsExcellent organizational and problem-solving abilitiesProficiency in procurement software and Microsoft Office SuiteAbility to thrive in a fast-paced, high-pressure environment while maintaining attention to detail and accuracy
