Senior Procurement Specialist

We have an immediate opening for a detailed- oriented and highly organized accounting/ purchasing professional to help support our growing office. This position will serve as the main point of contact for project related purchasing requests and lead our design and accounting teams with FF&E procurement.

Primary responsibilities include:
  • Serving as a liaison between vendors, sub- contractors and internal teams to obtain approval for estimated costs within budget and establish payment, delivery and installation schedules and other logistics
  • Establish daily working relationships with suppliers, managing changing priorities and escalations.
  • Work with Studio Directors to track and improve profits of projects
  • Task Management for members of the team
  • Communicate directly with client about proposals, deposits, and invoices
  • Generate tracking reports for project managers to analyze and project team efficiency
  • Run and place purchase orders, check order confirmations against PO's to ensure accuracy
  • Expedite PO's to ensure timely receipt of items for installations
  • Communicate with warehouse to ensure delivery and receipt of items
  • Follow up with vendors to receive replacements when items arrive damaged
  • Coordinate with install teams, designers, and client to schedule installs. Help during installs when needed
  • Reconcile the credit card and bank statements
  • Sourcing vendors, issuing RFPs and negotiating pricing for multiple project. Creating, managing and tracking all purchase orders, invoices and client payments
  • Negotiate non-disclosure agreements, teaming agreements, license agreement, terms, and conditions


Requirements

  • 8+ years of related experience in an accounting role, with at least 4 years of demonstrated experience focused on purchasing. Experience in an interior design, hospitality or manufacturing firm preferred
  • Working knowledge of accounting principles, sales tax ordinances and general ledger reconciliations
  • Excellent written and verbal communication skills
  • Strong organization skills to coordinate and track purchase requests, received orders, deliveries
  • Expert level knowledge of Microsoft office, specifically Microsoft Excel; experience with Deltek or similar ERP systems preferred
