OverviewThis position is responsible for coordinating PR projects, developing, implementing, and monitoring inventory or other operational processes, tools, and systems required for collecting, tracking, and managing information for staff performance, regulatory reports, and audits. Works closely with management and staff to ensure deadlines are met and provides routine and complex administrative support for the department.

Responsibilities

Coordinates and monitors PR’s inventory control process, including assigning inventory numbers, tracking, researching, and reporting of inventory aging using several tracking systems.

Participates in the design of improvements to inventory systems. Recommends tools for improving inventory tracking and reporting.

Follows up with staff on aging inventory and reports status to management.

Uses SUGAR + and other PR systems required to support daily operational functions.

Coordinates with Audit team development of tools for data collection and is responsible for preparing individual staff performance results based on PR department performance standards.

Monitors timeliness of submission of performance data and follows up with staff and managers to ensure reporting deadlines are met.

Collects and monitors department operations reports and presents findings to department management.

Supports monthly tracking and reporting of documentation required for regulatory audits, ensuring documentation is organized and accessible.

Leads or is back up to the PR department’s Administrative Assistant for tasks using internal systems such as SharePoint, PowerDSM, SUGAR+, Workfront, and Inventory systems. Supports trainings and assists staff in the use of these systems.

Enters PR Rep visits in Sugar+.

Participates in departmental process evaluation, recommends improvements, and participates in implementation of new procedures.

Documents and maintains desk procedures.

Facilitates the weekly provider Re-organization meeting, responsible for follow-up with PR staff on all outstanding issues. Monitors and ensures timelines are met. Develops PowerPoint presentations, forms, and other documents for internal staff education and or new staff as directed by PR operations management.

Provides general administrative support, including filing confidential correspondence and contracts, distributing provider notices via fax, email, and mail, and creating and distributing provider manuals on CD.

Additional administrative support to the PR operations management team as needed.

Provides back-up coverage for PR Administrative Assistant.

QualificationsEducation and Experience

Bachelor’s degree preferred in Business, Administration, Health Care Administration, or related field and minimum two (2) years of administrative experience; or equivalent combination of education and experience.

Special Skills, Licenses and Certifications

Proficient in multiple software applications used to create correspondence, forms, reports, graphs, and visual presentations, including Outlook, Word, Excel, and PowerPoint. Typing speed of 60 wpm and proficient use of 10-key calculator. Thorough knowledge of generally accepted professional office business machines and practices. Valid California driver’s license and proof of current automobile insurance compliant with PHC policy are required to operate a vehicle and travel for company business.

Excellent oral and written communication skills. Strong organizational skills with ability to prioritize and work on multiple assignments simultaneously and meet deadlines. Ability to create and utilize effective tracking and filing systems. Ability to use good judgment and handle sensitive issues with tact and diplomacy.

Work Environment And Physical Demands

Ability to use a computer. More than 80% of work time is spent in front of a computer monitor. Ability to move, carry, or lift objects of varying size, weighing up to 30 lbs.

HIRING RANGE:

$27.62 - $33.84
