Consistent respect for others is the foundation for trust, collegiality and inclusion.Information about the roleThe Program Office oversees the Museum’s Programmatic Centers and Institutes, leads the Museum’s strategic planning and governance processes, and plays a key role in leading a number of cross-office initiatives. The Program Office is seeking an experienced, talented, and knowledgeable Program Operations Manager to support the Museum’s Programmatic Centers and Institutes. The Program Operations Manager will play a critical role in supporting the Museum’s Program offices in financial management, budgeting, fundraising, and monitoring and evaluation.This position is located in Washington, DC and is hybrid telework eligible, within the local commuting area of the Museum worksite.This is a full-time donated position (non-Federal) paid with the Museum’s private funds. Salary is commensurate with experience.Major Duties and ResponsibilitiesBudgeting and Financial Management:Develops annual budget planning timeline and guidance for key Program staff, in coordination with the Office of Finance.Updates and executes communication plans to engage DPAs in the preparation of budgets that align with strategic plan priorities.Supports DPAs in developing, managing, and analyzing their annual budgets and resolving challenges as they arise.Provides hands-on budget formulation and execution support for staff in the Planning and Program Offices and the Office of International Affairs.Prepares high-level overviews and analyses of all Program center and institute budgets, flagging funding gaps and challenges.Monitors Program centers and institutes in budget execution and spending throughout the year.Provides input and feedback to the Office of Finance on Program Office needs to improve reporting and tracking of spending.Resolves complex financial matters, identifying challenges and raising questions as needed.Fundraising:Reviews and makes recommendations on donor materials including proposals, reports, budgets, and expense reports.Coordinates and manages the logistics for the review and editing of donor materials by Program Office leadership.Reviews financial forecasts for fundraising materials to ensure alignment with operational budget and strategic priorities.Tracks and works to resolve issues and questions that arise from the Development Office.Monitoring and Evaluation:Works with Program staff to support monitoring and evaluation efforts to measure progress against strategic plans.Recommends appropriate indicators and helps to determine data sources and collection methods.Develops timelines, systems, and processes to collect and synthesize data.Analyzes data and develops dashboards and other tools to effectively present progress against goals.Other Duties:Develops communication plans and timelines for this portfolio of work.Coordinates and manages special projects, ensuring deliverables are on-time and of high quality.Leads and facilitates meetings, preparing agendas and ensuring follow up on action items.Organizes and prepares correspondence, reports, and other data on projects.Other duties as assigned.Minimum Qualifications for the role5+ years of experience in fundraising, budgeting, and financial management, or equivalent education and 3+ years of experience.Proven ability to solve problems and manage risk in a dynamic environment.Experience writing donor reports and proposals for funders.Experience with financial modeling and forecasting tools.Ability to flexibly shift priorities based on changing work needs.Superior verbal, written, and interpersonal communication skills.Experience developing executive presentations and memos.Excellent Google Suite and Microsoft Office skills.Project management experience.Initiative and Critical Thinking.Delivery Excellence and Flexibility.Teamwork.Preferred Qualifications for the roleAdvanced degree in Business, Public Policy, Non-Profit Administration, or related fields.Experience with monitoring, evaluating, and tracking metrics against strategic priorities.The application deadline for this position is August 10, 2024.
