About the Role

Ogilvy is looking for a highly driven, passionate, and detail-oriented

Event Specialist

to support our continued work with FEMA on the Community Engagement and Risk Communication (CERC) contract. This person will work closely with the Vice President, Meetings and Events to manage events across the contract, from internal meetings to 1,000+ attendee multi-day client conferences, as well as the client presence at external exhibit opportunities.

This is an exciting opportunity to work with a federal agency and a large, dynamic team encompassing a network of behavior change, disaster resilience, risk communications, emergency management, community outreach, partnership building, community planning, and engineering experts.

This full-time position works collaboratively with colleagues in Washington, D.C., and 10 regional offices nationwide to accomplish significant results in the areas of raising understanding of local vulnerabilities and driving action to strengthen communities.

What You'll Do

In coordination with the Vice President of Meetings and Events, support logistical planning and execution of CERC and FEMA-owned conferences, ranging in size from 20 - 1,000 participants.Collaborate with the team to ideate and develop event agendas; identify, secure, and prepare speakers; and coordinate client internal scheduling.Support attendee management, including registration, communications, at-event support, and post-meeting follow-up.Track and update budgets and related reporting tools for events.Manage the CERC Events calendar, including researching potential opportunities.Obtain bids for event-related other direct costs, including venues, AV providers, and virtual tools.Staff and coordinate support at in-person and virtual events as needed.Serve as the client services partner and communicate efficiently.

What You'll Need

3-4 years of event management experienceUnderstanding of technical requirements for virtual events and familiarity with virtual platforms of all shapes, sizes, and levels of complexityUnderstanding of onsite event management, including audio-visual requirements for hybrid eventsStrong project management skills; experience with Smartsheet preferredStrong client service skillsExcellent verbal and written communication skillsAbility to work with and manage sub-contractors and vendor relationshipsAbility to travel up to 10% of your time
