Position Summary and Responsibilities
The Office Specialist supports the activities of the Director of Annual Giving and the Vassar Fund staff and reports to the Director of Annual Giving. This position is integral to the success of our annual giving program, which is a key contributor to our $10+ million annual goal. The Office Specialist will be instrumental in helping us execute key programs such as Generation Vassar and Reunion, as well as our day-to-day operations.
Responsibilities
Provide general office support both in person and by phone/Zoom.
Triage alumni volunteer and donor inquiries through telephone and email as well as supplying reports or other documents.
Prepare extensive external mailings, including mail merges (both through Word and Google Docs add-ons). Support the Assistant Director of Annual Giving, Appeals and Production and Advancement Communications with e-appeal and direct mail appeal production.
Provide support of GiveCampus to create social fundraising platform campaigns, general administrative support, and assistance to Vassar Fund staff as needed.
Use department databases (including thankQ) to record communications, access information, and maintain records. Execute thorough and accurate data entry in databases, spreadsheets, and reports.
Assist with calendar management for administrators within the department. Regularly organize meetings between administrators and external constituents through Doodle Polls, Zoom, and Google Calendar. Attend these meetings, take thorough and accurate notes, and prepare those notes for distribution. Assist with travel and lodging agreements when applicable.
Prepare and process various forms, documents, and reports for departmental use on a both regular and ad-hoc basis.
Process supplier invoices and reconcile P-card purchases through the Vassar Workday system.
Qualifications
Required
3-5 years of administrative support experience or equivalent combination of education and experience.
Excellent written and verbal communication skills.
Excellent computer skills, including Microsoft Word, Excel, Google Suite, database management, and mail merges.
Must be familiar with general office practices and software. Additional experience with CRMs and higher ed tech preferred.
Ability to interact effectively and professionally with a diverse community of potential donors, volunteers, and staff.
Strong time management and organizational skills, attention to detail, and the ability to maintain confidentiality, tact, and diplomacy.
Ability to manage multiple and competing priorities–plus, a willingness to quickly pivot to alternate plans when appropriate.
Ability to work both independently and as a team player, with a professional, problem-solving demeanor and superior judgment.
Preferred
Associates degree or higher.
thankQ CRM and GiveCampus familiarity.
Prior work experience in a higher education setting.
