August 2024- May 2025EXPECTATIONS FOR ALL DOMINICAN EMPLOYEES:To support the University's mission of preparing students to pursue truth, to give compassionate service, and to participate in the creation of a more just and humane world.POSITION DESCRIPTION:The Welcome and Information Desk (WID) helps to facilitate a welcoming, caring, healthy and safe environment, and promote an inclusive community rooted in the Caritas Veritas tradition of Dominican University. The WID GA (Graduate Assistant) helps to manage the WID Agents and works collaboratively on several administrative tasks/projects to support the overall operations of the WID and enhance the campus community experience.JOB COMPONENTS/PRINCIPAL DUTIES AND RESPONSIBILITIES:Co-manage the supervision of the WID Agents – supporting the hiring, onboarding, training, and evaluation of students.Support the Office of Undergraduate Admission during events such as Discover DU, Admitted Students Day, etc.Mentor, lead and advise The WID Training TeamAssist with scheduling updates on WhenToWork.com – specifically shift assignments and swaps/substitutions along with troubleshooting coverage needs, typically evenings and weekends.Maintain the WID Microsoft Teams page, including WID training guides for each location and Knowledge-Based articles to create learning applications and tools to enhance the competencies and service excellence of WID Agents.Assist with updates to our WID department external websiteEngage with the WID team on The Band – official communication and information-sharing tool at the WID – providing updates, learning opportunities, and resolving concerns/needs.Conduct surprise WID Agent audits to ensure quality service is administered consistently as well as professional conduct/etiquette and WID policies are followed and adhered.Support ongoing updates to the WID Directory (Access query)Help to Monitor the department’s email – info@dom.edu

– and respond or advance the message to the appropriate individual(s) or location on campus.Work collaboratively to support partnering offices/departments services – i.e. parking permits and visitor management (Campus Safety), resident guest registration (Residence Life), DU magazines/brochures (Marketing & Communications) library guest accounts (Rebecca Crown Library), first aid kits (Wellness Center), etc.Act as a strong role model to all members of the Dominican community that creates an inclusive and welcoming environment for all.Maintain an average of 15-20 hours per week staffing the WID and training new WID Agents when possible.Attend meetings with supervisor and/or Campus Experience Manager when necessary.Performs other duties as requested, delegated or assigned.QUALIFICATIONS:

WID Graduate Assistant is required to be enrolled full-time in a Dominican University graduate programAbility to work the full-term of the position (One academic year, eligible for re-employment for a second academic year based on performance).Knowledge, Skills and Abilities:

Possess strong communication, customer service, and written skills.A “self-starter” – willing to take initiative, work independently, and be dependable.Capable of articulating vision and exhibiting effective leadership.Strong self-motivation, tact, diplomacy, and a clear, courteous, and professional manner when engaging with WID Agents, guests/visitors, and the Dominican University community.Demonstrated commitment to the work of the WID and desire to share in the mission and goals of the department.
