Job Summary

The Grant Administration Coordinator plays a pivotal role within the Grants and Research Office of Chicago State University, facilitating the seamless execution of administrative functions essential to successfully managing grants. This position requires meticulous attention to detail, exceptional organizational skills, and the ability to collaborate effectively with the University's faculty, staff, and administrative personnel. The Grant Administration Coordinator serves as a critical liaison between grant recipients and CSU's Financial Operations, ensuring an efficient administrative process flow while assuring proper compliance with grant and University guidelines, policies, and regulations.

Job Description

Responsibilities:Grant Administration Support (50%)

Provide comprehensive administrative support to faculty and staff throughout the grant lifecycle, from proposal development to project completion.Coordinate grant-related procurement activities, including sourcing materials, equipment, and services, following grant budgets and procurement guidelines.Coordinate grant-related hiring and travel activities, following grant compliance and the University guidelines.Provide timely actions in all aspects of grant administration to meet grant goals.Financial Management (10%)

Process financial transactions related to grants, such as purchase orders, student stipends, expense reimbursements, and invoice payments, ensuring accuracy and compliance with grant regulations.Personnel Administration (10%)

Facilitate the hiring process for grant-funded personnel, including research assistants, postdoctoral fellows, and consultants, in coordination with human resources and hiring managers.Maintain accurate records of personnel appointments, salaries, and related documentation required for grant reporting and compliance.Travel and Logistics Coordination (10%)

Arrange travel accommodations and logistics for grant-related activities, such as conferences, workshops, and fieldwork, in accordance with university travel policies and grant guidelines.Assist grant PIs and project teams with travel expense reimbursement procedures, ensuring timely processing and compliance with grant regulations.Compliance and Reporting (10%)

Ensure that the grant administrative activities align with compliance with funding agency requirements, university policies, and regulatory standards, proactively identifying and addressing potential issues.Administrative Support to Associate Provost of Grants and Research (10%)

Provide administrative support to the Associate Provost, coordinating meetings, preparing reports and presentations, and assisting with grant-related documentation and other tasks.Minimum Qualifications

Bachelor's degree in business administration, accounting, finance, economics or a field related to the positionAdditional knowledge, education, training and/or sponsored project experience in the area of specialization inherent to the position may be requiredKnowledge, Skills and Abilities

Prior experience in grant administration, research administration, or sponsored project management within a higher education or research institution.Understanding of grant regulations, compliance requirements, and financial management principles.Physical Requirement/ Demands
