Position SummaryThe Arts & Business Council (ABC) is seeking an entrepreneurial Director of Operations to join our growing team. Reporting to the Executive Director, the Director of Operations will be an integral part of ABC’s leadership team and will oversee and administer all financial functions and activities, as well as internal policies and procedures. This role is crucial in ensuring the efficient and effective functioning of the organization. The ideal candidate will have a strong background in both operations and finance, a keen eye for detail, and a passion for supporting the arts. Typical duties will include, but are not limited to:Operations (50%)Assess an organization that has developed organically; recommend and implement systems, structure, and policies to strengthen and expand organizational operations.Develop, implement, and manage human resources (HR) policies and systems, including recruitment, onboarding, training, periodic performance evaluations, and employee relations.Ensure that HR policies and procedures are complete and compliant with applicable legal requirements.Design and administer comprehensive benefits programs to support staff well-being.Implement and maintain organizational policies and procedures to enhance productivity and compliance.Oversee and evaluate regularly the implementation, maintenance, and efficiency of organizational software and systems, including fundraising CRM, grants management program, and office productivity tools.Contribute to the development of positive staff morale and a company culture marked by respect for each other by practicing and encouraging behavior consistent with ABC’s personnel policies.Finance (35%)Maintain accurate and timely financial records using QuickBooks Online accounting system, which includes the Arts & Business Council’s operating account(s) as well as 10-20 fiscally sponsored project accounts.Assure timely and accurate preparation of financial reports in accordance with generally accepted accounting principles (GAAP), and ensure integrity and clarity of accounting data.Manage accounts payable and receivable, ensuring timely processing and reconciliation.Provide strategic financial analysis of current operations and projections for future to aid leadership and Board with an understanding of ABC’s finances and their implications.Develop and oversee payroll processing systems and ensure compliance with all relevant tax and regulatory requirements.With Board Treasurer and Executive Director, coordinate with external auditors and prepare necessary documentation for annual 990 and audit.Assist in the development and monitoring of ABC’s budget, providing insights and recommendations.Serve as primary contact for the Board’s Finance and Audit Committee.Administration (15%)Track and complete annual filings to ensure compliance in accordance with state and federal regulations.Provide leadership to ABC in the areas of overall administration, budget management, and human resources management. Advise leadership staff and make recommendations on strategies to accomplish programmatic goals and objectives by using current resources.Serve as a subject matter expert and resource for relevant ABC programs (including Volunteer Lawyers and Professionals for the Arts), as needed.Oversee day-to-day operational and administrative functions, ensuring smooth and efficient office management such as maintaining office supplies and equipment, and coordinating with vendors, service providers, and facility managers as needed.Support the organization in other strategic planning and organizational development initiatives, as needed.Be an exceptional partner to other organizations to expand the capacity, reach and support for ABC and its programs; act as an ambassador for ABC in the community.Position Requirements & QualificationsThe Director of Operations will be an innovative and analytical thinker that can simultaneously manage big picture visioning with a strict attention to detail. Because a success-oriented culture is highly dependent on leaders who lead by example, the Director of Operations must always be professional, work with integrity, and actively promote ethics and compliance policies across the organization.QualificationsBachelor’s degree in Business Administration, Finance, Accounting, or a related field required; advanced degree or certification (e.g., CPA, CMA, or MBA) preferred.Minimum of 3 years in an operations or finance leadership role, preferably in a nonprofit or arts organization.Passion for the local arts community and commitment to the mission of the Arts & Business Council.Characteristics, Knowledge, Skills and AbilitiesDemonstrated knowledge of the principles, practices, and trends of effective financial and organizational management.Demonstrated experience in financial management (i.e. allocation of resources, budget preparation, financial analysis, rate development, and revenue projections.)Demonstrated understanding of HR principles and experience building HR systems.Demonstrated strong writing skills and experience in preparing reports, protocols, correspondence, policies and procedures, and other projects; ability to edit copy for correct grammar, spelling and punctuation.Strong analytical skills with proven ability to collect and interpret data and present analyses both orally and in writing.Exceptional communication and interpersonal skills, with the ability to express ideas clearly and concisely.Dynamic self-starter with a high degree of professional independence and ability to exercise impeccable judgement with minimal guidelines.Strong organizational and time management skills; demonstrated ability to work on projects with competing deadlines and to independently establish goals and workload priorities.Expert knowledge of accounting software packages; Quickbooks Online preferred.Excellent knowledge of office software including Microsoft Office and GSuite (Docs, Sheets, Forms, etc.)Familiarity with office and task management software (Asana, Slack, etc.)Cultural competence and experience working with the Arts & Business Council’s communities and stakeholders.A commitment to ensuring racial and cultural equity in all Arts & Business Council policies and practices.Ability to stay current with Tennessee labor law, policies and practices.Environmental Conditions & Physical DemandsThe work environment involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices and meeting rooms; use of safe work practices with office equipment, avoidance of trips and falls, and observance of fire regulations. The Arts & Business Council employs a flexible, hybrid work model with time spent in a temperature-controlled office and/or the employee’s preferred remote work location.Some work outside of typical office hours may be required during the planning and execution of special events. Some light local travel to run errands may also be required.The work environment will require walking, standing, bending and carrying of items weighing 1-30 lbs.
