Job Summary

The Faculty Coordinator will be responsible for:Coordinating HMS appointments and promotions processes for all faculty and trainees in the Department of Pediatrics, including completion of HMS forms, helping faculty prepare CVs in accordance with HMS rules, and gathering search documentation, reference letters, and other elements of the appointment/promotion packets. Drafting letters for inclusion in submissions.Preparing and formatting promotion status letters for approved promotions from P&R and communicating to the Chief, Manager, Office of Faculty Development, the promoted professor, and their division chief.Coordinating and reviewing all Fellow, Lecturer, and Instructor application packets (includes checklist, CVs in HMS standard format, and Chief letter) for accuracy and completion and coordinating with divisions for updates, corrections, and or missing information. Working with CAAP Reviewer in preparation for submission to HMS.Liaising to Faculty Appointments office at HMS. Preparing annual RAAP and TRAAP, HMS reports, and supporting documentation.Providing administrative support to Department's Promotions Committee, preparing meeting materials for review and writing minutes of meetings. Tracking of annual faculty career conferences and performance reviews. Performing general administrative support related to faculty affairs. Responds to inquiries from within and outside the institution. Maintaining administrative program files and records. Preparing, routing, and tracking forms and documents. Entering and updating academic appointments into HMS PeopleSoft system.Providing administrative support to Associate Physician-in-Chief and Deputy Chairman, Department of Pediatrics. Maintaining calendar, transcribing and typing from Dragon dictation, and drafting correspondence, reports, manuscripts, and other materials for highly complex and/or confidential business documents. Proofreading and editing material. Receiving and screening correspondence, composing and preparing responses on administrative matters.Providing technical advice and problem-solving assistance to members of the Old Docs Club. Coordinating monthly meetings and events, assisting with PowerPoint presentations, and communicating with doctors and their admins.Planning, preparing, and organizing logistic and administrative requirements for several large conferences and events for the Department of Pediatrics and BCH Alumni Association. Preparing and submitting event application for Alumni Reception at PAS conference, arranging all AV, food and beverages, reception table, publicity flyers, and staff event. Working with the Trust in coordinating the Blackfan Lecture and arranging the celebratory luncheon that follows. Incorporating details needed for Distinguished Alumni and Community Pediatrician awards for this event. Sitting on the committee to help plan Alumni Day and Class Reunion celebrations.Attending the bi-annual Alumni Council meeting, scheduling committee meetings, and preparing meeting agenda and minutes, aiding in keeping Alumni website updated with current event information.Coordinating Moonlighting and ATO Process for all hospital trainees. Collecting and reviewing approval form requests, arranging for required approval signatures and completed malpractice extension forms if needed. Coordinating the onboarding process for all residents not currently on payroll to employ them as per diem residents.To qualify, you must have:Bachelor's Degree or equivalent 4 years related experience. Master's preferred.2 years healthcare administrative experience.Analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.Boston Children's Hospital offers competitive compensation and benefits.
