Candidate Profile and Qualifications

Experience:

Maintaining files, data entry, restocking supplies, answering phone calls, communicating over email and in person, being attentive to detail, working alongside upper management, and working in a fast-paced environment.

Technical Skills:

Proficient in Microsoft Office Suite.

Soft Skills:

Dependable, Professional, Proactive, and Organized.

Education:

Bachelor's Preferred, Relevant Experience Can Compensate.

Proof of vaccination against Covid-19:

Required, including booster.

Job Duties & Responsibilities:

Greeting Visitors & Answering Phones:

Welcome customers, job applicants, vendors, and other visitors.

Determine and address their needs promptly and professionally.

Answer and direct incoming calls.

Provide accurate information to callers as needed.

Updating Calendars and Scheduling Meetings:

Prepare rooms for meetings and training sessions.

Maintain and update calendars to ensure efficient scheduling.

Clerical Tasks:

Filing paperwork, scheduling appointments, answering phones, greeting visitors, and sorting and sending mail.

Producing and distributing memos, letters, faxes, and forms.

Responding to emails in a timely and professional manner.

Taking messages and ensuring they are delivered to the appropriate destinations within the organization.

Travel Arrangements:

Booking travel arrangements.

Arranging conferences and conference calls.

Finances:

Submitting and reconciling expense reports.

Preparing and monitoring invoices.

Approving expenditures within designated limits.

Other Tasks:

Ordering office supplies to maintain adequate inventory.

Taking dictation and transcribing notes accurately.

Researching and creating presentations.

Providing information by answering questions and requests from colleagues and external contacts.
