Project Coordinator, for the Concierge Service Department

.This is a multi-faceted position, consisting of project management support on small remodel projects, as well as supporting the concierge service needs of our clients. Design Line provides a high level of customer service to clients. Therefore, we seek someone who has exposure to construction, with a high level of professionalism and enthusiasm, and a willingness to be flexible on the job. Training will be provided.This is a salaried, full time position with benefits.The Project Coordinator is responsible for responding to the individual discerning requests and needs of our clients, with professional and timely responses. Inquiries and requests from the client include varying types of needs, from personal requests, to small “how to” questions, to scheduling warranty, maintenance, seasonal tasks, and emergency calls at times. This position must be able to quickly find the information, coordinate the response team, professionally follow up with the client, and track all related correspondence and ongoing issues.

The Project Coordinator must show professionalism and etiquette with every client and their requests. This is a very individualized service that we provide, and it is tailored to the unique needs related to the property and lifestyle of our established and exclusive clients.Concierge Responsibilities include, but are not limited to:Prepare the customized concierge program for client:

Take notes (and keep checklist) at initial walkthrough of residenceUnderstand the tailored needs of the projectEnter checklist in Smartsheets/CentriqSchedule and update the calendar with the appropriate servicesCreate client login for Smartsheets client portalUpon need, schedule subcontractors and vendors

Follow up with client to set up the needed service, according to client’s availability and scheduleBe accessible to the clients by timely responding to their phone calls, texts and emailsCoordinate the needed solution directly with the client and/or schedule the appropriate DLC service providerMaintain warranty program and coordinate as neededTrack all related correspondenceWork directly and proactively with the CSM and Service SuperintendentRespond to the occasional individual tailored requests for the client, and coordinate solutions with the CSMSMALL PROJECTS SUPPORTSCOPE AND RESPONSIBILITIES:The Project Coordinator provides support to the Project Manager with tracking project accounting and control, implementing direction from the PM, and assisting to ensure compliance with quality standards. The Coordinator is responsible for smooth organization, implementation and completion of the assigned project, to the satisfaction of the Project Manager. The Coordinator is responsible for: document control, updating logs and project information throughout the project duration and archiving documentation at the project’s completion.

Project Coordinators are office-based, working closely with Project Managers and regularly interact in the field with the site team and are integral to the building process. They work closely with the Superintendent and Project Managers on estimating and scheduling efforts, subcontractor buy-out, and project documentation/tracking including but not limited to submittal management, RFIs (Request for Information), RFPs (Request for Proposal) and COs (Change Orders). Project Coordinators additionally assist the team to collaborate effectively with the project team, architect, vendors, subs, suppliers and consultants.Small Projects Responsibilities include, but are not limited to:Facilitate flow of project informationDraft and distribute meeting notesLog, distribute and track plans and contract documentationDistribute and track RFPsDraft and distribute (commitments) subcontracts, purchase orders, and CCOsReview, code and forward subcontractor/supplier invoices to accountingMonitor progress and final lien waivers from subcontractors and suppliers as neededReview submittals for compliance with contract documentsCollect, draft, track and distribute Submittals and RFIsMaintain drawings, specification, RFI and other logs as requiredAssist communication flowTravel to jobsites, participate in OAC meetings when necessaryUpdate information in Spectrum, Procore and DropboxProject closeout with subcontractors to obtain final documentsArchive documents and compile Owner’s Manual at close of projectOther duties as directed by Project Manager, CEO, or Finance/Admin teamEXPERIENCE/SKILLS REQUIRED:The company realizes that every interested candidate might not have all of the desired experience, and some training will be provided, but here is what they are looking for in terms of experience and skills… the more you have, the better!3 years of construction administration support experienceExcellent and proactive communication skillsFamiliarity with building plansProficiency in MS Office, with a focus on Excel spreadsheetsExposure to management platforms: Spectrum, Procore, Bluebeam, Smartsheets and Centriq (or similar platforms) is preferredQualitative And Other Attributes Required:Ability to prioritize multiple tasks and concurrent deadlinesAbility to follow instructions with accuracy and attention to detailEffective time management and logical decision-making abilityCapacity to handle pressureStrong interpersonal skillsAbility to use discretion and tact; ability to maintain confidentialityWillingness to travel to construction sites as requiredStrong focus on qualityPositive outlook and personalityEDUCATION/CREDENTIALS:AA degree in construction management, or equivalent experience and/or certificationREWARDS/BENEFITS/COMPENSATION:Attractive/competitive salary, bonus potential, health/dental/vision insurance options, PTO.DLC is a great place to work!TO APPLY:Please thoroughly read the position descriptions, and company website before sending resume.Please email your resume and cover letter with “DLC” in the subject line.Local candidates only.Qualified resumes with cover letter will receive notification of receipt.Please do not send your resume to Design Line Construction directly.Lisa K.
