The Office Specialist provides administrative and operational support for multiple program offices including Case Management, Advocacy, Resources, and Education (CARE), Health Promotion and Education (HPE), and Support, Advocacy, and Violence Prevention (SAVP). These offices work together dynamically to support students’ mental, physical, and social wellbeing and to offer health education and violence prevention programming on Vassar’s campus. This position provides crucial support to the operational needs of these three offices, including scheduling, purchasing, and other administrative duties.Responsibilities:Provide students with general information and appropriate referrals about the CARE, HPE, and SAVP offices.Perform duties with latitude for exercising judgment, discretion, and confidentiality in accordance with state laws and campus policies and procedures.Provide logistical and scheduling support for various student programs, committee meetings, and other administrative meetings.Facilitate communication and maintain relationships with on and off campus partners.Schedule appointments, send out departmental communications, and prepare informational documents as required.Maintain student record databases such as Maxient and Titanium.Assist with semester projects and on-call schedule, reentry, sober host trainings.Purchase and monitor expenses from all departmental budgets, and maintain departmental records. Complete expense reconciliations.Communicate with multiple departments and information from administrators as directed.Qualifications:Three to five years of progressively responsible administrative support experience.Excellent computer skills are required including proficiency with the Google Apps suite (Drive, Docs, Mail, Calendars, Sheets) and the Microsoft Office suite (especially Word and Excel).Strong time management and organizational skills, attention to detail, and the ability to apply independent judgment with limited supervision and instruction.Demonstrated ability to work and communicate effectively with diverse constituencies and competence in oral and written communications.Tact, diplomacy, and the ability to exercise discretion and confidentiality.Strong organizational skills, including the ability to effectively manage deadlines and multiple, competing priorities.Ability to understand that students seeking support often have layered and intersectional needs.Must be able to work both independently and as part of a collaborative team.Special Instructions to Applicants:
