What you’ll do:

We are seeking a senior Executive Assistant in our Ventura Headquarters. You will provide high-level administrative support to our CEO’s Office and will report directly into the CEO’s assistant. This highly visible position will interface with all levels of leadership, employees, clients, partners, board directors, and CEO’s home office. This is a fast-paced role requiring a proactive, roll-up-your-sleeves approach, combined with great organization skills, a sense of urgency, and poise. The position requires applying in-depth company knowledge for effective executive support.

Manage multifaceted, continuously changing business and personal calendars, ensuring they meet the needs of company/personal priorities.

Arrange both domestic and international travel, including developing itineraries, arranging accommodations, handling calendar management, coordinating meeting logistics and preparation, finalizing document preparation and miscellaneous administrative functions as needed. Familiarity with private aviation a plus.

Process expense reports and reconcile company credit card statements.

Function as the liaison between the CEO’s office, the Executive Leadership Team members, direct reports internal/external stakeholders, and CEO’s home office.

Utilize knowledge of the company’s business to effectively conduct research as needed for special projects.

Work as part of the CEO’s team, collaborating closely with the CEO, the CEO’s Chief of Staff and EA, proactively anticipating expectations, needs and performance standards.

Understand complex priorities to ensure that the executive’s time is optimized with minimal input.

Track, monitor, and guide progress of projects and action items to ensure they remain on course.

Handle sensitive situations with professionalism, integrity, confidentiality, and good judgment.

Independently organize events, socials, offsites, etc with little direction.

Acts as a collaborative member of the Global Executive Assistant team, participating in and supporting open lines of communication between colleagues in support of business continuity.

Supports the Global Executive Assistant team by acting as a back-up for other team members when requested.

Who you are:

BS degree preferred or equivalent work experience

12+ years of previous experience supporting C-Level executives and interacting with Board Members in a technology, advertising/marketing services, or other fast paced environments.

Strong computer skills required (MS Office Suite – Outlook, Word, Excel, PowerPoint) prefer experience with Zoom, Webex or similar, Concur, Workday and Confluence strongly preferred.

Experience with processing expense reporting. Especially with foreign travel and currency conversion.

Excellent written, verbal and interpersonal communication skills to ensure successful interactions with all levels of employees and external contacts.

Capacity to handle heavy workload and thrive in a fast-paced work environment, constantly striving to add value, without losing focus.

Manage multiple priorities and exhibit initiative, creativity, and flexibility.

Work independently as well as part of a team to ensure that the needs of the business are always met without compromising coverage.

Absolute confidentiality and discretion are critical.

Highly resourceful, self-motivated and a fast learner, someone who takes the initiative to figure out what needs to be done independently.

Excellent attention to details and follow through skills.

Positive attitude and strong work ethic, can-do, roll-up your sleeves style.

Outstanding customer service skills and ability to work well with different types of personalities.

Ability to take ownership of assignments and show great accountability for work.

This role requires flexibility to be present in the office 5 days a week when needed and travel as needed with the Executive / EA.
