JOB SUMMARY

Works under the direction of the Assistant Registrar to provide timely information and actions on scheduling, enrollment, curriculum management, and other pertinent course and student record information. Assists Curriculum Management team with course approvals and class setup, class scheduling, and enrollment requirement application. Applies professional Registrar student service based concepts to curriculum management and class scheduling functions. Provides information and enforcement of institutional, state, and federal policies, procedures and regulations. Receives direction regarding more complex programs.

JOB DUTIES

40% - Registrar Core Functions:

Assists in developing and implementing registrar core functions such as classroom, course and event scheduling, enrollment management support, transcript activities, facilities support, grading etc.

20% - Course Approval and Setup:

Assists the catalog editor and curriculum management team in the course approval process and creation and setup of classes (such as the creation of new classes, course revisions, set up of enrollment requirements).

15% - Systems Testing:

Participates in testing processes regarding the development and maintenance of curriculum and schedule systems. Identifies opportunities for improved internal practices and procedures.

15% - Guidance and Communications:

Provides routine guidance and information to students (current, prospective, and former), parents, faculty, and/or staff regarding scheduling, enrollment, registration, grading, degree and student record, policies, procedures, classroom reservation scheduling, facility/maintenance, and regulations.

10% - Consultation:

Consults with experienced level staff and/or faculty when reviewing more complex student record issues.

REQUIRED QUALIFICATIONS

Bachelor's degree or equivalent experience/training.

Working knowledge of policies, regulations, and practices with student records services.

Ability to apply working knowledge of policies to individual situations in a diverse learning community.

Problem identification and critical thinking skills.

Organizational skills and ability to prioritize work and meet deadlines.

Written communication skills.

Verbal communication skills. Active listening skills.

Customer service skills and interpersonal skills.

Proficient with computer application programs and productivity software.

Experience using complex databases.

Ability to establish and maintain cooperative relationships with campus departments.

PREFERRED QUALIFICATIONS

Working knowledge of University policies, processes, and procedures and of Federal and California laws pertaining to the privacy rights of students and access to student information.

Knowledge of specialized registrar core functions (e.g., degree requirements, special enrollment, veterans' benefits, and residency).

SPECIAL CONDITIONS OF EMPLOYMENT

Selected candidate will be required to pass a pre-employment criminal history background check.

Ability to work long periods of time at a computer with or without accommodation.

Ability to perform essential physical job functions.

Ability to conduct outdoor site visits, including use of required personal protective equipment, as required to conduct investigations, inspections, or view work in place.

The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs, and be able to fulfill requirements of the UCSC telecommuting agreement.

Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.

Ability to occasionally work overtime with little or no advance notice.

Selected candidate will be required to complete training within established time frames as directed including UC compliance training.

Ability to travel to multiple work locations on and off campus.

Ability to maintain appearance and conduct suitable for working in a professional setting.
