Purpose:

The Executive Assistant/ Office Manager plays an integral role in supporting the business's success by providing various administrative services to our Executive Leadership Team and our daily office functions. The role supports our Executive Leadership Team to operate efficiently and effectively through exceptional administrative support. In addition, the role oversees the administration and facilities support of the office, ensuring the office environment is maintained in an orderly state and properly equipped enabling staff and visitors to have an efficient, energizing, and comfortable place to work. This role is based in the office full-time.

Role and Responsibilities:

Executive Assistance:

Deliver exceptional in-person and virtual administrative support and customer service in a team-based environment; adapt methods and behaviors to effectively engage and accommodate executives’ styles and preferences, understanding their characteristics, strengths, weaknesses, and what is needed.Plan, manage, and coordinate time to accommodate executive requests and schedules; demonstrate exceptional judgment to adjust and flex hours, and address requests with a sense of urgency.On a regular basis, manage sensitive and confidential information appropriately and with a high level of discretion.Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.Arrange executive travel as needed.

Office Management:

Greet visitors, issue and manage badges, passes, door codes, parking validation, etc. as needed for employees and visitors.Manage relationships and accounts with all office-related vendors, suppliers, and service providers.Manage relationships with building or property management, administration of office lease, maintenance agreements, and contracts. Coordinate repairs and issues.Partner with IT on processing and receipt of laptops and company-issued equipment.Responsible for management and tracking of all non-IT office equipment and assets.Arrange travel support for visitors.Receive and sort daily mail.Support the Reston office leader to drive an exceptional in-office work environment for our people.

Qualifications:

Prior experience as an Executive Assistant / Office Manager.Proficiency in Microsoft Office Suite.Excellent organizational skills.Multitasking and time management skills, with the ability to prioritize tasks.

Desired Qualifications:

Bachelor’s degree in business administration, event management, hospitality, or related field.
