The Executive Assistant will serve as administrative support for the Chief Financial Officer and Location Operations Manager in addition to other team members within the function to ensure that departmental and company goals and objectives are accomplished and that operations run efficiently. In this role, you will maintain and refine internal processes that support executives across the business and coordinate internal and external resources to expedite workflows. You will manage communication with employees by liaising with internal and external contacts on various projects and tasks, managing calendars, planning meetings and events, researching, providing technical administrative solutions, and handling information requests. You will also be responsible for Social Media Marketing for our 4 locations including The Maddalena Restaurant and 1917 Bistro, Paso Robles Tasting Room and Jada Vineyards, and our Ontario Tasting Room. You will plan and orchestrate work to ensure that department priorities are met, organizational goals are achieved, and best practices are upheld.ESSENTIAL DUTIES AND RESPONSIBILITIES
– Current duties may be changed if the job requires and/or additional duties may be assigned if necessary.Provide administrative support to the CFO and Locations Operations Manager for both personal and business needs.Flexibility in taking on any special projects and additional duties as assigned by the CFO and Locations Operations Manager.Answering phone calls and emails, preparing & editing correspondence, memos, and letters.Assist with meeting preparation, logistics, and documents and presentations.File and retrieve organizational documents, records, reports, and reference materials.Coordinate signatures for check requests.Display skills to work both independently and within the team-oriented environment, efficiently completing work on deadlines and effectively incorporating feedback on results.Provide feedback as needed at the discretion of the CFO and Locations Operations Manager.Adhere to all company procedures and policies.Represent the company’s best interests in their actions.May have to work some weekends and holidays.Digital Marketing:Establish a strong online presence through a website, social media, and email marketing.Use digital advertising to reach a broader audience and target specific demographics in partnership with a dedicated Graphic Designer.Develop engaging content that tells the story of the family business.Highlight the business’s history, values, and unique selling points.Regularly update CFO and Location Operations Manager on marketing strategies, campaigns, and results.Provide Marketing administrative support in the Restaurant as needed.Minimum Qualifications:Five or more years of experience as an Executive Assistant.Excellent written and verbal communication skills.Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.Strong ability to follow up and give clear feedback if needed.Ability to interact and collaborate with all functional levels and business areas.Develop and maintain strong working relationships with others.Comfortable in learning new technology and adapting as appropriate.Strong relational skills and ability to anticipate needs.Ability to compile, manage, and track details, events, and data in an organized manner online that allows for quick access.Comfortable working in an in-person and mobile, interactive environment.Flexible team player, willing to adapt to changes and unafraid of challenges.Ability to maintain confidentiality of sensitive information related to the company and its employees.High level of emotional intelligence and ability to navigate complex situations.Self-starter and solution-oriented.Bilingual is a plus.Must be willing to travel to our different locations.Apply Now
