Description

Performs a variety of administrative and executive support tasks which may be highly confidential and sensitive. Coordinates office management activities for senior Government leaders in DCSA’s Office of the Chief Information Officer (OCIO). Researches, compiles, assimilates, and prepares confidential and sensitive documents and briefs the OCIO personnel regarding contents. Reads and screens incoming correspondence and reports, makes preliminary assessment of the importance of materials and organizes documents, handles some matters personally, and forwards appropriate materials to the OCIO leadership and staff. Receives and screens incoming calls and visitors, determines which are priority matters, and alerts the OCIO leadership accordingly. Composes letters and memoranda in response to incoming mail or calls. Proficiency in Microsoft Office products to include Outlook, Word, Excel, PowerPoint, and Teams. Updates OCIO leadership on status of issues before scheduled meetings. Prepares agenda and collects materials for meetings; takes minutes and keeps records of proceedings as required. Reviews, proofreads, and edits documents prepared for OCIO leadership signature. Coordinates and facilitates the OCIO leadership calendars to arrange appointments, meetings, and conferences. May recommend actions to be taken on office expenditures such as equipment and supply needs. Compiles and maintains records, statistical information, and reports. Establishes and maintains various filing and records management systems. Performs related work as assigned.

Daily hours are 8:00 am to 4:30 pm onsite at Quantico.

Qualifications

Required Qualifications

High School diploma

At least 8+ years of experience in an administrative role supporting executives, preferably in a DOD environment

Experience with Defense Travel System (DTS)

Secret Clearance

Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word), Adobe Acrobat, collaboration software such as MS Teams and SharePoint. Aptitude for learning new software and systems

Expert level written and verbal communication skills

Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

Demonstrated proactive approaches to problem-solving with strong decision-making capability

Emotional maturity

Demonstrated ability to interact effectively and appropriately with high-level executive staff

Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response
