Position Summary

The Capacity Management Manager is responsible for driving ongoing improvement of patient access through optimal scheduling design and utilization of provider templates and capacity across the system. As such, the Manager is expected to build and maintain collaborative relationships with physician and clinical department leaders and provide strategic direction over a range of activities including management of ambulatory scheduling workflow, technical build design and provider schedule template management.

Their primary focus is to maintain optimal provider templates, consult with internal stakeholders to maintain Epic decision trees and other scheduling builds, and to analyze demand and capacity data to create actionable recommendations for improvement.

The Capacity Management Manager fosters and promotes a culture of excellence. They build trust and collaboration across the cross-functional team to help ensure a seamless patient and provider experience.

Essential Duties and Responsibilities

include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

Gather and compile information and reports to understand demand-capacity imbalances, identifying access barriers related to templates and Epic decision trees, and optimizing the use of all applicable Epic functionality, specifically related to scheduling/access.

Serve as subject matter expert in template design and scheduling functionality to support practice leaders, project team members and department colleagues. Research, apply and communicate best practices to the team and to stakeholders within clinical departments.

Oversee, monitor, and support, in collaboration with Access leadership, internal processes essential to day-to-day operations, including but not limited to:

Assessing capacity management needs and applying appropriate resource allocation to meet the daily operational needs of each clinic.

Participating in the development, implementation, and ongoing optimization of operational systems and processes, focusing on volume optimization and practice operations.

Developing, implementing and analyzing key performance metrics to provide regular and consistent feedback and holds all teams accountable for performance measures.

Work collaboratively with clinical management team regarding process improvements, technology enhancements, and other operational recommendations.

Maintain Epic certification in Cadence and understand integration with other Epic applications and third-party systems.

Education

Bachelor’s degree or equivalent work experience required

Experience

5 – 7 years of direct experience with Epic scheduling workflows, including technical/build environment

Epic Cadence certified

Strong organizational and problem-solving skills

Demonstrated leadership qualities and abilities

Strong organizational skills with the ability to lead and complete multiple, complex projects on time with high quality results

Appreciation of timeliness with resolving issues and determining priorities. Strong planning and delegation skills, including ability to develop and cross-train staff

Strong knowledge of performance evaluation techniques and customer service metrics

Excellent verbal and written communication skills with strong interpersonal skills

Strong problem-solving ability and analytical skills

Ability to work effectively in a demanding, team-oriented, and fast-paced environment

Experience working with Microsoft Windows applications

Supervision Received

Works under Senior Director, Patient Access, or appropriate leader.
