The Department of Surgery is seeking an

Administrative Specialist

that will support the Chair of Surgery by providing complex administrative and project support to ensure the smooth and efficient operation of the chairman's office. The ideal candidate will assist the office of the Chair in creation of solutions to assist in streamlining procedures and processes to move the department forward. A successful candidate will be pivotal in assisting the chair and administrators in accomplishing the goals, strategies, and initiatives of the department.

Specific Duties & ResponsibilitiesManage and complete extensive planning to ensure positive outcome on all project work. Projects include, but are not limited to,Recruitment activities for the departmentTeam building events for administrative teamStrategic planning events for the departmentFaculty development activities and meetingsGrand Rounds scheduling and planningDepartmental functionsEmployee Recognition CommitteeEducational Program supportPrepare the chair for important meetings, presentations, and discussions by gathering critical information on issues. Prepare necessary reports and briefings as necessary.Interpret and analyze information regarding current operating policies and procedures. Recommend new processes/procedures on operation workflows.Shift priorities as necessary from one project to another. Manage multiple projects within a short period of time.Prepare special reports needed by chair or administrators.Manage communications from chair and administrators including preparing first drafts of announcements, letters, and memos.Interface with key leadership across the university.Maintain confidentially since dealing regularly with highly sensitive and privileged information.Prepares agendas, itineraries, coordinate meetings (working with A/V, booking rooms, booking travel).Anticipate and problem-solve issue and concerns that will impact the chair and department.Responsible for answering questions, providing guidance, and disseminating information as directed by chair or administrators.Exercises independent judgement in the resolution of administrative problems.

Minimum QualificationsBachelor's Degree.Five years in providing high level expertise.Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
