Position Overview:The Executive Assistant will provide high-level administrative support to the CEO and other senior executives, ensuring the smooth operation of daily activities and strategic initiatives. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks with a high degree of accuracy and professionalism.

Key Responsibilities:Calendar Management:

Coordinate and manage the executive’s schedule, including meetings, appointments, and travel arrangements.Prioritize and reschedule meetings as necessary to accommodate changes in the executive’s workload and commitments.

Communication:

Act as the primary point of contact between the executive and internal/external stakeholders.Screen and direct incoming calls, emails, and correspondence, responding on behalf of the executive when appropriate.Draft, edit, and proofread correspondence, reports, presentations, and other documents as required.

Meeting Coordination:

Organize and prepare materials for meetings, including agendas, presentations, and reports.Attend meetings to take minutes, capture action items, and follow up on deliverables.

Travel Arrangements:

Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries.Ensure all travel arrangements align with the executive’s preferences and corporate policies.

Project Management:

Assist with the planning and execution of special projects, ensuring deadlines are met and goals are achieved.Collaborate with other departments and teams to gather information and support project deliverables.

Confidentiality:

Handle sensitive and confidential information with discretion and integrity.Maintain a high level of confidentiality in all interactions and tasks.

Administrative Support:

Manage office supplies, equipment, and facilities to ensure a well-organized and efficient work environment.Perform other administrative duties as required to support the executive team.

Qualifications:Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.Experience: Minimum of 5 years of experience as an Executive Assistant, preferably in a corporate or fast-paced environment.Skills:

Excellent organizational and time management skills.Strong written and verbal communication skills.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (i.e., Google Suite, Slack, etc.)Ability to work independently and as part of a team.High degree of professionalism, discretion, and integrity.
