The LightHouse is currently in a period of growth, increasing our capacity to serve more low-vision and blind clients.*Blind/visually impaired strongly encouraged to apply.*Please note the terms and conditions of this position may be subject to change, once a Union Collective Bargaining Agreement is in place.OVERVIEW:Reporting directly to the Director of Clinical Services, the Low Vision Clinic Program Coordinator shall work as part of an interdisciplinary team with the Low Vision Optometrist, who conducts an extensive functional examination assessing the patient’s visual acuity, color vision, contrast sensitivity, visual fields, and reading capabilities.This position is responsible for coordinating services for the Low Vision Clinic (LVC) including administrative tasks, answering phone calls, appointment scheduling, appointment reminders, inventory management, handling patient records and communication.QUALIFICATIONS:At least 2 years’ experience in an optometry clinic experience or equivalent required.Experience working with low vision/blind persons preferred.Strong organizational skills and attention to detail.Dependable, reliable attendance.Must be an effective user of Microsoft Office Suite, including Outlook, Word, and Excel. Salesforce or other database experience, and knowledge of Zoom or other web conferencing platforms a plus.Must comply with HIPAA regulations in all communications and handling of documents.Experience working with Medicare, Medi-Cal or other third-party billing entities and their requirements for documentation is preferred.Ability to provide the highest quality of patient service and actively looks for ways to help patients.Encourages and builds mutual trust, respect, and cooperation among team members.Current driver’s license and clean driving record for use of company cars for errands.Certification in CPR, AED and First Aid (provided by LightHouse).Occasional availability required for weekend/early evenings and special events.Bi-lingual English/Spanish is also a plus.JOB RESPONSIBILITIES:This position requires a positive attitude, patience and kindness and contributes to a friendly atmosphere for everyone.Manages communication correspondence with patients including email, phone, fax, and regular mail for the low vision clinic.Schedules appointments for the patients with the Low Vision Optometrist and the Occupational Therapist including confirmation of appointment by phone.Manages Low Vision Clinic waitlist.Guides patients through the LVC process and collects all necessary documents assuring accuracy in preparing the patient packet for the doctors on staff including patient records, eye reports, insurance information from referring doctor, and waivers.Creates all Low Vision Clinic patient charts/files.Works with direct manager and the LightHouse team in assigning funding sources for low-income patients.Understands and maintains documented processes for Private Pay, Medicare, Kaiser, Department of Veterans Administration (VA), and California Department of Rehabilitation (DOR) affiliated clients.Transcribes and mails/emails clinical reports to the appropriate referring doctor or DOR/VA counselors.Maintains general and confidential files and records including procedures, waivers, and medical records.Accurately maintains client data in electronic health records system.Coordinates recommendations for continued services at LightHouse from the Low Vision Optometrist and/or Occupational Therapist with the Program Specialist, and Case Manager as required.Maintains accurate inventory of equipment and devices.Collaborates with LightHouse Low Vision team and community ophthalmologists and optometrists regarding referrals.Maintains accurate client billing records in electronic format and submits service hours for billing by established deadlines.Provides Human Guide assistance for individuals who are blind, or vision impaired by helping them move safely from one place to another (training provided).Willingness to perform other related duties as assigned.PHYSICAL REQUIREMENTS:Must be able to carry or transport 20 lbs.Ability to sit at a desk and perform computer-intensive work for extended periods daily.Ability to operate standard office equipment.Ability to independently travel to all LightHouse physical locations and events, as well as throughout Northern California as needed.WORKING CONDITIONS:LightHouse is an equal opportunity employer.
