For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Executive Assistant, Chief People Officer to support the Chief People Officer and Global People Support division by providing day to day coordination and administrative support including calendar management, meeting arrangement and support, travel arrangement, project management, organizational communication and expense reporting. This position will serve as a strong partner to the CPO through daily interaction and collaboration to establish shared goals, determine priorities, manage tasks, and generate clear and consistent communication.

This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays). It reports to the Chief People Officer and is only available for candidates with the right to work in the US.Responsibilities:Networking & PartnershipBuild cross-functional relationships and serve as a contributing member of the senior leadership administrative team by attending meetings and retreats and serving on related project teams.Policies and ProceduresHelp CPO draft, update and approve policies.CommunicationAssist in managing the GPS department SharePoint Intranet.Organize divisional meetings to ensure updates are communicated on project progress, staffing, department needs and deadlines, as well as to foster team morale and unity.Serve as a point of contact for the GPS division within and outside of GPS by dispersing communication to both internal and external stakeholders on GPS processes, rollouts, initiatives and policies.Communicate organizational deadlines to GPS and help ensure GPS meets deadlines assigned outside and within GPS.Serve as the primary point of contact for the CPO internally and externally, communicating questions and concerns appropriately to the CPO.Events and LogisticsPlan and execute GPS social rhythms, including monthly and quarterly events and activities.Clerical and AdministrationTake minutes during GPS division meetings, schedule follow-ups as necessary, record next steps and delegate responsibility of tasks.Organize team meetings to ensure updates are communicated on project progress, staffing, department needs and deadlines, as well as to foster team morale and unity.Maintain awareness of GPS and GLT schedules or any major conflicts while coordinating cross-departmental meetings.Provide daily support to the CPO as necessary.Equip the CPO to participate fully in meetings through comprehensive preparation.Attend certain meetings with the CPO and follow up appropriately when necessary.Maintain the CPO’s calendar based on agreed upon priorities including scheduling time for essential tasks and cueing up regular tradeoff discussions with the CPO.Monitor the CPO’s email inbox by drafting correspondence on behalf of the CPO, flagging significant pieces of communication to ensure timely follow-up, and tracking requests.Prepare materials to enable the CPO to meet important deadlines.Provide support to the CPO for national and international travel, including hotels, flights, per diem, etc.Assist the CPO in managing and tracking divisional and cross-functional projects, ensuring all CPO deadlines are met within communicated timelines.Advance action items for the CPO’s meetings.Complete expense reports and payment requests in a timely manner for the CPO.Assist the CPO in facilitating the engagement and onboarding of new GPS hires.General TasksModel excellence and professionalism for the organization in language, attitude, attire and demeanor as a representative of the CPO.Participate on interview panels as needed.Participate in IJM’s community of spiritual formation.Qualifications:Education & ExperienceAt least 5 years of experience in providing top-level administrative support in a fast-paced, professional environment.Bachelor’s degree in Business Administration or equivalent.Superior administrative capacity to manage many projects and tasks simultaneously and to complete them with minimal oversight.Technical CompetenciesExceptional verbal and written communication.Customer service.Excellent planning and implementing skills.Exceptional experience in MS Office (including Word, Excel, PowerPoint, Outlook, SharePoint, etc.).Critical Qualities:Eager commitment to IJM’s Core Values: Christian, Professional and Bridge-Building.Trustworthy; ability to keep highly confidential information and issues private.Friendly, professional demeanor and composure under pressure.Meticulous attention to detail and disciplined with priorities.Ability to influence.Cross-cultural collaboration.Desire to serve and passion for administrative work.Self-starter with strong initiative and resilience.Disciplined with priorities.Strong interpersonal skills and self-awareness.Exceptional verbal and written communication.Flexible, collaborative and eager to support others.Effective team player who fosters collaborative environment.Adept at creative problem solving.Application Process:Upload Resume, Cover Letter & Statement of Faith* in one PDF document.What does IJM have to offer?Comprehensive Medical/Dental/Vision benefitsMonthly commuter and parking benefits in the DC metro areaRetirement benefit optionsPaid leave starting at 23 days12 holidays (plus early release the day prior)Daily, quarterly, and annual community spiritual formationRobust staff care resourcesIJM holds strict safeguarding principles and a zero tolerance to violations of the Safeguarding Policy, Protection against Sexual Exploitation, Abuse and Harassment Policy, and Code of Ethics.
