Established two years ago, the College serves approximately 4500 undergraduate and graduate students across eight departments and the Gina and Frank Day Health Institute. Through collaboration and engagement with the community and one another, faculty, staff, and students lead transformative and justice-oriented endeavors to secure the health and well-being of people and their communities.Position SummaryThe Dean of the College of Health and Human Sciences (CHHS) at MSU Denver seeks a skilled professional to join her collaborative and dynamic team. The Executive Assistant to the Dean is a highly visible and impactful role responsible for providing high-level administrative and project management to the Dean under the supervision of the Associate Deans and Assistant Dean. The incumbent will actively collaborate with the Associate Deans, Assistant Dean, faculty and staff within the College, colleagues throughout the campus, and internal and external stakeholders to ensure all the Dean's meeting, decision support, travel, calendar, and logistical needs are handled efficiently through careful organizational management.This position requires an appreciation of the mission of the institution as well as the insight, tact, and diplomacy to deal effectively with staff, faculty, students, and community members. As representatives of the Dean, all members of the Dean's office are expected to model the university's core set of values of Community, Access, Diversity, Respect, and Excellence (CADRE) in their interactions with senior leaders, faculty, students, staff, colleagues throughout campus, and their interactions with organizations and individuals outside of the University.ResponsibilitiesThis is not intended to be a complete statement of all duties, which may be assigned by the supervisor according to varying business needs.Administrative Operations - 55%Provides executive support to the Dean including meeting arrangements, client relations, coordinating travel, preparing reports, and managing time commitments.Manages daily operations of a fast-paced, high accountability office including oversight of the front desk, arranging travel, training and supervising office support staff, and serving as the first point of contact for the Dean.Provides administrative support and recommendations for the Associate Deans and Assistant Dean.Exercising independent judgment and initiative, provides professional administrative support and advice to the Dean on a broad range of College level issues that may be sensitive or confidential in nature.Utilizing broad knowledge and understanding of the College of Health and Human Sciences and campus, the Executive Assistant to the Dean manages the flow of the Dean's communication and correspondence. Drafts correspondence and communication for the Dean and the College that includes, but is not limited to, letters, presentation materials, memos, reports, forms, speeches, and general outreach.Ensures, and in some cases provides timely response to action items resulting from email (including Dean's email), meeting notes, and other correspondence.Manages the Dean's calendar and priorities in response to requests, exercising independent judgment regarding priorities based on knowledge and context of College level activities and campus objectives. Schedules and supports meetings convened by the Dean, Associate Deans, or Assistant Dean, as directed. Prepares agendas and distributes materials and arranges logistics for regular College-level and/or branch meetings; drafts and distributes minutes; tracks items for follow up.Manages the Dean's Office shared drive and other systems to efficiently archive, retrieve, and store documents.Coordinates and manages purchasing activity.Project Management - 20%Manages and executes special projects and initiatives launched by the Dean; provides advice and assistance with planning activities and issue-oriented groups in the College.Organizes ad hoc committees appointed by the Dean on a broad range of issues. The salary range that the University reasonably expects to pay for this position is $70,000 - $82,000.
