Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.ResponsibilitiesReview and redact agency records determined to be responsive to requests.Coordinate the day-to-day office operation, including, but not limited to problem and conflict resolution, organization and prioritization of tasks; respond to written communications.Design and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activities.Coordinate meetings, workshops and courses for staff; schedule conference rooms. Update and maintain staff calendars.Maintain appointment schedule by planning and scheduling meetings.Monitor conference rooms and swing space reservations.Attend meetings, develop agendas and take meeting minutes.Work with staff on preparing materials for meetings.Coordinate multiple conference lines and communicate meeting logistics.Provide intranet updates and changes.Coordinate the printing and conversion of paper documents to electronic files.Develop, maintain and utilize various administrative databases.Gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities.Set up and format spreadsheets to analyze information.Ensure that requests for action or information are relayed to the appropriate staff; decide whether executive level should be notified of important or emergency supervisory issues.Summarize the content of incoming materials, specially gathered information, or meetings to assist executive; coordinate the new information with background office sources; draw attention to important parts or conflicts.Enter requested data in tracking system.Draft correspondence from established templates in response to requests. Identify possible exempt items for further review.Update and maintain electronic and paper files for requests.Create Excel spreadsheets to help track data and create reports.Maintain the divisional mailbox and all communications within the NIH.QualificationsRequired Skills:Master’s degree in a related discipline; two (2) years of specialized experience plus a Bachelor’s degree is equivalent to a Master’s degree.Proficiency with MS Office.Excellent analytical, organizational and time management skills.Equal Opportunity/Affirmative Action:We are committed to hiring and retaining a diverse workforce.
