GENERAL STATEMENT OF RESPONSIBILITIES:

Responsible for organizing and coordinating office staff and procedures for the daily operation of the school. The Office Manager provides leadership, communication, administrative procedures, office staff supervision and task delegation.

RESPONSIBILITIES & DUTIES:Serves as a liaison between the Principal's office and the community, including resolving routine issues, and providing follow-up.Coordinates communication between the school district, social media, parents, community, vendors, and departments/schools.Supervises office staff, resolves conflicts, allocates tasks/assignments, manages health office as needed, monitors performance, performs training functions, and assists the Principal in scheduling interviews, recommending new hires, disciplines, terminations, and conducting performance evaluations.Organizes and coordinates Substitutes as far as schedules, classrooms, emergency subs, sub folders, and splitting classrooms as needed.Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office, including Emergency Response Plans.Prepares meeting notices, agendas, packets, and materials for Principal's use.Coordinates and organizes schedules, events, electives prep, and meetings, including parents meetings and parent conferences.Schedules evaluation for teachers and monitors the schedule for completeness.Maintains various calendars including Principal's appointments, school activities, events, and facilities use calendars.Maintains student and school records and other required documents including registration and emergency notification, faculty, staff, and student attendance.Welcomes and schedules new students.Prepares and maintains time sheets, attendance, PTO scheduling, substitute logs, and payroll records as necessary.Assists in monitoring student discipline.Assists in preparation/maintenance of student master schedule.Manages day-to-day operation of the school. Screens phone calls, directs inquiries to the appropriate area, receives visitors, gives tours, assists with registration, sorts and routes incoming mail, cash handling, prepares and posts correspondence, drafts routine responses, coordinates maintenance requests, transcribes confidential dictation, identifies sensitive issues and brings them to the immediate attention of the Principal.Composes and prepares letters, bulletins, memos, handbooks, newsletters, Board Reports, PeachJar, and forms such as purchase orders and supply requisitions.Prepares special reports, materials for professional development, and assists the teachers as needed.Coordinates with the IT department on all office equipment, software, and assists students and teachers with technology.Responsible for Synergy report card monitoring and entering disciplines.Represents the district in a professional manner, and in the best interest of the district.Performs additional duties and accepts other responsibilities as may be assigned by Supervisor.MINIMUM QUALIFICATIONS & EXPERIENCE:

High School Diploma or GED.Three (3) years of office assistant experience including one (1) year working in an area supporting administration.One (1) year experience managing or working in a supervisory capacity preferred or any equivalent combination of education and experience to successfully perform the duties of the job.Knowledge required:General office procedures, practices and time management.Policies, procedures, rules, regulations of the district.School operations, procedures, and protocol.Federal and state laws governing the area of assignment.Computer skills and related software applications including, databases and spreadsheets and other types of office equipment.

Competencies required:Managing, scheduling, assigning and reviewing work of others.Gathering data, composing, drafting and editing written work.Handling and maintaining confidentiality.Well organized with an attention to detail and problem solving

OTHER REQUIREMENTS:

Ability to work independently.Demonstrated leadership and decision making experience.Excellent communication skills and demonstrated ability to work effectively with staff and community.Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

PHYSICAL & WORK ENVIRONMENT:

The employee regularly works indoors and outdoors.

The noise level in the work environment is moderate to loud.

The employee may be exposed to machinery, potential physical harm, all outdoor weather conditions, hazardous chemicals, and infectious diseases.
