We’re looking for an enthusiastic, professional office administrator to join our team! You’ll play a crucial role as the face and first point of contact for our organization. Other responsibilities include answering phone calls, responding to emails, managing mail and deliveries, scheduling appointments, and other assignments as needed to ensure efficient business operations. Responsibilities: • BE CORE - lead by example by demonstrating and embodying our company culture for all employees to see and follow • Be the initial POC for client interactions by greeting clients with a smile & desire to help when they arrive, answering phone calls within two rings, and emails within one day • Print, package, deliver and e-file all tax returns, following up on issues and rejects • Coordinate tax docs email and data flow into client OT accounts and projects • Manage client portals • Learn & become a subject matter expert (SME) for internal practice management program, Office Tools • Manage office functions including supply management & coordinating with vendors • Coordinate open items and all follow-ups with clients, scheduling, etc. • Help identify office workflow processes & functions that can be made more efficient and work to implement those efficiencies • Assist with facility maintenance and repairs • Communicate client service improvement and business growth opportunity ideas • Assist with development and growth strategies of the business • Manage the company’s social media platforms • Assist team with all aspects of the business including processing of client payroll, preparation of tax returns and processing of client bookkeeping & accounting • Take incoming calls and direct them to the appropriate staff • Arrange appointments for staff and keep the calendar up to date • Assist with other administrative tasks, such as data entry, filing, etc. Qualifications: • Proficient computer skills and knowledge of Microsoft Office • High school diploma, G.E.D. or equivalent • At least one year of receptionist or administrative assistant, experience, or similar preferred • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills • Comfortable taking telephone calls and mitigating stressful situations Compensation: $35,360 - $45,760 yearly
