Position Summary : Provide general Receptionist and Administrative support to the Proximo team.

General Office Administrative Duties :• Answer multi-line telephone system and direct calls to the proper person in a timely and professional manner.• Retrieve voicemails from main number and relay messages to individuals.• Greet visitors.• Maintain reception area, conference rooms, supply room and kitchen.• Sign for receipt of parcels, envelopes, deliveries, etc.• Prepare parcels for pickup.• Liaise with building management and departments requesting deliveries.• Manage spreadsheets and databases for vendor invoices.• Photocopy, scan or e-fax documents.• FedEx account management (tracking and billing)• Messenger service management (tracking and billing)• Office and pantry supplies management• Manage conference room reservations• Mail sorting and distributing for office and sales team.

Other Administrative Duties :• Support HR team with personnel administrative setup of new hires and terminations.• Support various department Executives with preparing expense reports or other administrative duties.• Provide backup administrative support to the staff as needed.

Experience/Skills :• Three or more years of full-time administrative experience (reception, office assistant, or administrative assistant).• Excellent communication skills (written & verbal).• Proficiency in MS Word, Excel, and PPT.• Must have working knowledge of phone systems and general office equipment including copiers, fax machines, printers and postage meters.• Must be a multi-tasking extraordinaire (i.e. ability to exercise appropriate judgment in the handling of calls, visitors, deliveries and requests for information).• Bilingual Spanish is a plus.
