Summary/Purpose of Position:

The Volunteer Administrator is responsible for the daily managing of the Volunteer Program at Miracle Hill Ministries. The Administrator will interact with all areas of the organization and be accountable for developing, maintaining, and improving all logistics of the volunteer program. The Administrator is responsible for serving on the Volunteer Engagement Team to implement and maintain a cohesive infrastructure of motivated volunteers and mentors. The Administrator will work hand in hand with the Director of Engagement to ensure well rounded relationships with Volunteers and Church Partners.

Essential Duties and ResponsibilitiesWork directly with volunteers:

For MHM facilities staffed with a Volunteer Coordinator, work with Volunteer Coordinator to assess needs of facility and place volunteer individuals and groups on site. The staffed Volunteer Coordinator will handle logistics of onboarding and scheduling at these locations (Greenville Rescue Mission, Overcomers Center and Men's Transitional Housing, Shepherd's Gate, Renewal and Women's Transitional Housing, and Cherokee County Rescue Mission).For MHM facilities not staffed with a Volunteer Coordinator, the Volunteer Manager will coordinate all logistics relating to volunteer activities at these locations (Spartanburg Rescue Mission, Thrift Operations, Food Warehouse, Foster Care, and Copper Line).Oversee volunteer groups, to include handling all communication with group leaders, placing groups with a volunteer project, and managing logistics of day of service.Assist in the planning and implementation of formal and informal volunteer recognition activities to recognize the contribution of volunteers to the organization, to include the planning and implementation of an annual volunteer appreciation event each Fall.

Maintain a flexible schedule that accommodates the needs of volunteers and their service to the facility, which may require some evening and weekend duty.Volunteer Program Planning, Recruitment, and Training

Continually monitor volunteer needs at all facilities to identify and match appropriate volunteer(s) to the need.Develop, administer and review policies and procedures which guide the volunteer programs and services, and reflect the overall values of the organization.Oversee the intake and interview protocol for potential volunteers to ensure the best match between the skills, qualification and interests of the volunteers and the needs of the organization.Train staff to work effectively and cooperatively with volunteers and host periodic training updates.Orient volunteers to increase their understanding of the organization, its clients/guests, its services and the role and responsibilities of volunteers.Ensure the volunteers are given appropriate training to be successful in their positions.Ensure that volunteers work in a safe, healthy and supportive environment in accordance with all appropriate legislation and regulations and evaluate the risks of each volunteer position.For Children's Ministry volunteers, ensure volunteers complete the required documentation and background checks as determined by state standards, accreditation and MHM: which includes completing these for new volunteers at their orientation, and have each volunteer renew their forms annually.Ensure that volunteers receive the appropriate level of supervision.

Maintain volunteer database which includes comprehensive records of volunteers, their activities, and coordination with fundraising software.

Prepare monthly, annual and other reports as requested on the contribution of the volunteers to the organization.Ensure that volunteer check-in procedures are followed and records of volunteer hours are maintained according to established procedures.Oversee the entering of all volunteer hours in Volunteer Management Software before close of each month.Input actions of notable volunteer activity into fundraising software for integration with Stewardship Team.

Oversee the internship program, to include application and interview protocol, onboarding procedures and opportunities for cultivating and growing participants during their internship.Other duties:

Work with Director of Stewardship to develop in-kind donation protocol and manage tracking and receiving of in-kind donations, to include monitoring inventory of the item of the month at the Food Warehouse.

Assist with and oversee when necessary the procurement of donations of Christmas gifts for all guests in care. Work with Volunteer Coordinators and Shelter Directors to recruit and work with sponsors, receive and manage gifts, and thank sponsors.Assist in the functional training of new Volunteer CoordinatorsOther duties as assigned by the supervisor or VP of Development.Supervisory Responsibilities:

The Volunteer Administrator will supervise volunteers. This position does not currently include supervisory responsibilities for paid staff.

Ability to supervise volunteers.Competence in a range of information technology including in MS Office Word, Excel and Power Point and ability to utilize and maintain volunteer database program.Ability to work under pressure and to demanding deadlines and to prioritize complex work load.Experience in the arrangement and delivery of events / training.Strong communication skills, both orally and in writing, with an ability to communicate at all levels.Strong interpersonal and speaking skills and understanding of relationship management.Experience in the recruitment, induction, motivation and management of volunteer workforce.Ability to demonstrate positive outcomes through self-direction and team work.Ability to assess situations to determine importance, urgency and risks, and make clear and sound decisions, which are timely and in the best interests of the organization.Ability to anticipate, understand and respond to the needs of internal and external stakeholders to meet or exceed their expectations within the organization parameters.Knowledge of current trends, resources and information related to volunteerismAbility to work hours outside the standard 8:30 am to 5:00 pm timeframe and to travel if necessary.Education and/or Experience:

Hold Bachelor's degree in Human Services, Social Sciences, Business Administration or other similar field or provide evidence of 3 to 5 years' equivalent and relevant experience.

Certificates, Licenses, Registration:

Valid SC Driver's License with a clear record able to be added to MHM insurance.
